Why New York guests stop for a photo booth

New Yorkers see professional cameras every week, so a booth here has to give them a picture they'd post themselves.

That bar is set by the city's calendar. Fashion Week fills Spring Studios every February and September, and Advertising Week takes over the Penn District in October. Agency people and brand teams who attend those weeks notice a weak print right away.

The full-length mirror turns a guest into a portrait in your campaign style within seconds. At a fintech reception or a Wall Street client night, the sign-up screen before the shot gives your sales team names to call the next morning.

A camera arm circles the guest and records a slow-motion clip. It works where people watch each other: a launch under the 70 ft ceiling of the Duggal Greenhouse, or a party at The Shed in Hudson Yards.

Sizes, prints and every format we bring are on our page about photo booth formats and sizes.

Where the booth stands in New York venues

Every New York room has its own route from the street to the floor, and that route decides where we put the mirror.

  • Javits Center, Far West Side

About 840,000 sq ft of exhibit space. For an evening reception, the rooftop pavilion over the 6.75-acre green roof takes 1,500 guests.

  • New York Marriott Marquis, Times Square

Shows in the Broadway Ballroom, about 30,000 sq ft on the 6th floor, run on a tight hotel schedule, so the booth goes in during the hotel's set window.

  • Midtown and Financial District towers

The booth rides a service elevator to an office floor or a sky lobby for a client night.

  • Chelsea Piers

Event rooms on the Hudson River between 17th and 23rd Streets. A west-facing room gets strong evening sun, so we place the mirror with its back to the windows.

  • The McCourt at The Shed

A 17,000 sq ft hall for more than 2,000 standing guests. A 360 platform near the plaza doors gives arriving guests the first thing to try.

  • Duggal Greenhouse, Brooklyn Navy Yard

35,000 sq ft with room for trucks at the door, which Midtown rarely gives you.

What your New York booking covers

You get the booth, its operator and the building paperwork in one booking, so nothing waits on a second vendor at the dock.

  • The trip in. The booth and its operator travel from one of our two bases, Los Angeles or Orlando, where our office and warehouse are at 310 N Orange Ave. The East Coast is a regular work region for our crew.
  • An operator for every hour. During NY Comic Con, when about 250,000 people walked the Javits halls in 2025, the line at a stand forms fast. Our operator runs each session and keeps the aisle clear.
  • Your campaign look. Logo on the print frame, a welcome screen and AI looks in your style.
  • Prints and phone copies. Guests keep a print and get the file before they reach the subway.
  • One crew for the rest. Add AV rental in New York for screens and sound, a racing simulator or VR, and the same team runs them. For a team day, see NYC team building events.

  • The format: AI mirror, 360 booth or both side by side.

New York adds items that a suburban venue never asks for. Each quote is custom, and these are the parts that move it:

Our trade show work in New York

Our New York case was a racing simulator. A photo booth in the same hotel follows the same building routine, from the dock to the last show day.

Branded Racing Simulator for i2c at FinovateFall, New York

At FinovateFall in the Marriott Marquis, we installed and tested i2c's branded station on September 8, the day before doors opened, then ran it for three show days. The booth staff saved about 51 external contacts. A photo booth with a sign-up step does the same job for an exhibitor whose visitors prefer a portrait to a lap time. New York has about 375 fintech startups, so a show like FinovateFall puts many booths of the same industry side by side.

How a New York booking runs

Each step answers a question your building manager will ask, so the day itself has no surprises.

  1. Step 1: Building, floor and date

    • You send the building, floor and date.
    • Add the guest count and whether the event is on a roof or a terrace.
  2. Step 2: Building rules

    • We check the building rules.
    • Some towers want the COI three weeks ahead and the elevator booked a week ahead.
  3. Step 3: Quote

    • You get the quote and confirm the format, looks and print frame.
  4. Step 4: Artwork

    • You send artwork a couple of days before the event.
  5. Step 5: Setup and test

    • We arrive in the access window, test every shot and open on time.
  6. Step 6: Pack-out

New York permits, union docks and COI

A one-night event in New York can touch four sets of rules. These are the ones that affect a photo booth.

  • TPA and the headcount. A space without a place of assembly certificate needs a Temporary Place of Assembly permit for 75 or more guests indoors, or 200 or more outdoors. A roof terrace counts as indoors. The Department of Buildings issues it, the FDNY inspects, and filings within 10 days of the event cost extra.
  • Javits hand carry. Only the exhibitor's own employees may hand carry, one item per person on a two-wheeled cart. Anything that arrives in a vehicle bigger than a Sprinter van goes through union freight handlers. Three main unions work the halls.
  • COI and the freight elevator. Manhattan buildings approve the certificate of insurance first and give out the elevator after. We send ours on request with the owner and the managing agent named.
  • Streets and parks. A booth on a street needs a SAPO permit. In a city park, NYC Parks wants the paperwork 30 days or more ahead, with the City of New York as additional insured.

Questions about photo booths in New York

Will the photo booth fit in our building's freight elevator?

In most Manhattan towers, yes. Send us the elevator size and weight limit from your building manager. At 48 Wall Street, for example, the limit is 2,500 lb, and we confirm our crate sizes against numbers like that before we book the slot.

Do we need a TPA permit for a rooftop party with a booth?

Only if the roof has no place of assembly certificate and you expect 75 or more guests. A roof terrace counts as indoor space for this rule. Ask your building first, and file early, because late filings cost more.

Can you bring a booth to our stand at the Javits Center?

Yes. We book the delivery through your show's contractor. Send us your booth number and the exhibitor manual, and we'll match our arrival to your move-in window.

Which New York weeks should we book first?

Fashion Week in February and September, the UN General Assembly and Climate Week, which run September 19 to 26 in 2027, and the NRF show at Javits in January. In December, office parties stack up around the Rockefeller Center tree lighting, when more than half a million people pass the tree each day.

Can the booth work on a pier or a roof in winter?

From December to March, plan it indoors. Central Park averages about 34°F in January, and both screens and guests prefer a heated room. From late spring, a terrace or a pier on the Hudson works well, and July averages about 78°F.

Can a 360 booth work in a low-ceiling Manhattan office?

Yes, if the room leaves space for the camera arm to swing. Send a photo of the room with the ceiling in view, and we'll tell you if the 360 platform or the mirror fits better.
