Corporate Event Questions, Answered
These are the questions corporate event planners ask us before they book: travel, insurance, space, timing, staff and the quote. Most answers come from an event we've run.

Corporate event planning questions
How much will our event cost?
There's no price list, because no two events need the same stations, hours and crew. Your quote is built from the format, the number of stations, the city, the event hours, branding and staffing. See how we quote corporate events.
Will travel, hotels or crew meals show up as surprise charges?
Travel to your city is part of the quote you approve, together with setup and staffing, so you see the trip before you sign. If something depends on the venue, the quote says so.
Our event is in Florida or on the East Coast. Can you come?
Yes. We have two bases, Los Angeles and Orlando, and work across the U.S. In Orlando we keep an office and a warehouse. The crew travels with the stations, and you coordinate with one team. Check the cities we cover.
Can you add our venue as additional insured on a certificate?
We provide insurance documents to venues and organizers on request. Send the venue's exact requirements with your inquiry, and we'll confirm what we can issue before you sign.
How much floor space and power does a station take?
It depends on the station and the room. We fit the setup to your venue and confirm space and power with you before event day. The four racing cockpits at Capital Group's office worked on the building's standard outlets.
The room is upstairs and has no elevator. Is that a problem?
Usually not. At Alpha School the room was on the second floor with stairs only, and our crew carried the surf simulator up. Tell us about stairs, ramps and the loading area when you inquire.
Can stations run outdoors?
Yes, with shade and power planned ahead. For Capital Group's outdoor Summer Social we set up shade tents and power distribution on the plaza. At EF Academy's luau we checked light, a level surface, power and space for the line before the luau.
What if the venue Wi-Fi is weak?
We plan a backup. At a school event near Raleigh, the venue network was the main connection, and our own hotspot stood by.
We need it in two days. Can you do it?
If the date is free, yes. EF Academy contacted us two days before its party and had a staffed surf simulator on the night. Call instead of emailing when the date is that close.
Who runs the stations during the event?
Our operators, for the whole event. Larger programs add an AV technician. Operators can dress for your theme: at a Sysmex client evening ours wore pilot accessories.
How long does each guest play?
A flight session takes 3 to 5 minutes, and a race about three. When a line forms, the operator shortens turns, as at the Parker Aerospace open house, where guests kept coming from about 9 AM.
What if guests don't use it?
A visible goal keeps people coming. On the 55th floor, Capital Group set ten prize places, and both racing cockpits stayed in near-continuous use from 2 to 5 PM.
Who can play? Our guests range from kids to executives.
Most stations need no experience. At the school event near Raleigh, players ranged from about six-year-olds to adults over forty, and the operator adapted each session to the player's age.
Can you brand the stations?
Yes. We put your logo and colors on simulator panels and seats, add sponsor graphics, design the leaderboard and create branded AI looks for the photo booth.
Do you support multi-day trade shows?
Yes. At FinovateFall we ran i2c's racing booth for three show days at New York Marriott Marquis, from install day to teardown.
We're an agency. Will you work under our brand and schedule?
Yes. TBX, Event Collective and Kid's Bash OC have booked us for their clients. You keep the client relationship, and we run the stations to your timeline.
What should I ask before hiring a corporate event planner?
Ask who runs the stations on the day, whether the equipment is theirs, what insurance documents they send the venue and when they arrive to set up. Our answers: our own operators, our own fleet, documents on request, and setup done hours before doors. For a 6 PM start at Hangar 21 we were ready at 4:30 PM.
Do you plan the whole event, or only bring entertainment?
Both. We plan and produce full corporate events, and we also add stations to a program you already have. The quote shows which parts are ours.
What happens after I send the form?
We reply right away, confirm availability and send the quote. Once you approve it, we check the venue and send a setup plan. The steps are in the full event timeline. Planning tips, checklists and format ideas are in our corporate event planning blog. For anything else, write to us on the contact page.
Didn't find your question?
Send it with your date and venue. We'll answer right away and tell you whether the date is free. Tell us the event type, date, city, guest count and budget, and add your question in the message. Or call +1 213 912 1010
