Why the occasion decides the format

When the plan starts from your goal, every station on the floor has a job to do.

  • At a trade show, success is a list of new contacts.
  • At a holiday party, it's the quiet accountant who ends up at the top of the racing board.
  • At a retreat, people need focus by day and something easy to share at night.

The same simulator works differently in each room, so we choose the format and the rules for the occasion.

Corporate event management from one team

  • One plan. Our event planning services cover the venue, the timeline, the vendors and our own stations in one document.
  • Venue paperwork. We send insurance documents to venues and organizers on request and confirm load-in, power and floor space before you book.
  • Operators from start to finish. They invite guests in, explain the controls and keep the line short.
  • Your brand on the stations. Panels, seats, leaderboards and AI photo looks carry your colors.
  • Something to share afterward. Final leaderboards and event photos go to you after the event.

You get one contact and one schedule, and the people who planned the day are the people on site.

Corporate events examples from our calendar

Each story shows a different occasion, so you can find one close to yours. More venues, setup times and equipment lists are in our corporate event case studies.

Corporate events across the USA

Your event can be in any state. We have two bases, Los Angeles and Orlando, and work across the U.S. Transport, setup and staffing come in one booking.

In Orlando we keep an office and a warehouse. We plan corporate events in Orlando and across Florida for venues as large as the Orange County Convention Center, home to IAAPA Expo and the PGA Show. On the West Coast we plan corporate events in LA and the rest of California. We've run a three-day booth in New York and shipped a flight simulator to Morrisville, North Carolina.

Questions about corporate events

What are corporate events?

They're events a company runs for a business reason: to thank staff, train a team, meet clients, launch a product or work a trade show. The occasion sets the goal, and the goal decides the format.

How much does a corporate event planner cost?

It depends on the occasion, the guest count, the city, the hours and the stations you choose, so every event gets its own quote. Here's how we build a quote.

Can you plan our event in another state?

Yes, anywhere in the U.S. We have two bases, Los Angeles and Orlando, and the crew travels with the equipment. You coordinate with one corporate event planner wherever the venue is.

What are some fun ideas for a work party?

A racing challenge with a live leaderboard and prizes, an AI photo mirror with branded looks, VR sports or a surf simulator for a summer theme. For a casino night we bring dealers. Pick one headline station and add a second if the line gets long.

Can you help with corporate event locations?

Yes. We can search for a venue that fits your guest count and program. If you already have one, we check its load-in route, power, Wi-Fi and insurance requirements before we confirm.

Can you run outdoor corporate events?

Yes. For Capital Group's summer social on a downtown plaza we brought shade tents, power distribution and extra cabling. Tell us about the site, and we'll plan the setup around sun, wind and power.

Do you produce virtual or hybrid corporate events?

Yes. For hybrid corporate events we add cameras, stream sound and a backup connection to your live program. Virtual corporate events run on the platform you already use. Details are on hybrid event production.

Can our agency book you for its client?

Yes. Total Brand Experience, Event Collective and Kid's Bash OC have booked us for their own clients. We work to your run of show, under your schedule.
