Cruise and travel
PortMiami handled 8,564,225 cruise passengers in fiscal 2025. Cruise lines and suppliers meet at Seatrade every April, where a surf or flight simulator at the booth fits the travel theme.

Hire a corporate event planner in Miami who books the interactive, plans the program and knows the Miami Beach Convention Center rules before load-in day. We bring simulators, photo booths and AV to Brickell, Downtown or Miami Beach.

Every large Miami venue has its own house rules, and we plan the setup around them from the first call. Booking a hotel or rooftop that isn't on this list? Send us the address and we'll check power, space and load-in with the venue.
Miami Beach Convention Center
Four exhibit halls cover 491,654 sq ft, and the Grand Ballroom seats 6,600 theater style. The building reopened in 2020 after a $640 million renovation. Food and drink are the one exclusive service here, run by Sodexo Live!, so branded snacks at a station go through them.
Fontainebleau Miami Beach
The resort has 107,000 sq ft of indoor event space, with the 31,340 sq ft Sparkle Ballroom as its largest room. The Coastal Convention Center opened in 2024 across Collins Avenue and links to the hotel by a footbridge. We confirm early which building gets the stations.
James L. Knight Center at Hyatt Regency Miami
This Downtown complex pairs a theater for up to 4,600 seats with the 28,000 sq ft Riverfront Hall. A sales kickoff can hold the general session in one room and the expo and simulators in the other.
Pérez Art Museum Miami
The museum stands in Museum Park on Biscayne Bay. Its covered East Portico takes a reception of up to 1,200 guests, and Constellation Culinary is the exclusive caterer.
Plan your booth or client night around these dates, because Miami's largest shows set the pace for the whole city's event calendar.
You avoid fines and a stalled load-in when the labor and paperwork match the building and the city.
Who builds what at the convention center
Florida is a right-to-work state, yet show work at MBCC is split by trade. Local 1175 decorators install booths, Teamsters move freight, IATSE handles AV and rigging, and house electricians make power connections. Only an exhibitor's full-time employees may set up their own exhibit, so we order labor and power through the show contractor.
Hand-carry and hours
You can carry small items in by hand, but dollies and carts are off limits. Straight time runs 8 AM to 4:30 PM on weekdays. Saturday is overtime, and Sundays and holidays are double time, so we schedule setup inside the weekday window when the show allows.
COI for city property
For an event on City of Miami Beach property, the certificate names the City as additional insured and certificate holder, with at least $1,000,000 per occurrence. It also lists the event name and the load-in and load-out dates. We send our insurance documents on request.
Special event permits
Miami Beach wants a permit application 30 to 60 days before load-in for an event on private property that needs city services. The Fire Department wants its request 30 days ahead. The City of Miami, across the bay, asks for 30 days for small and medium events and 45 days for large ones.
Hurricane season
Atlantic hurricane season runs June 1 to November 30 and peaks around September 10. For an outdoor station in those months, we agree on an indoor backup with your venue before the contract.
The neighborhood decides your load-in, your guests' commute and the kind of event that fits.
Your guests' industry tells us which station draws them in and how long they'll stay at it.

Art Week parties and brand nights in Wynwood are where guests most want a shot to post. We bring an AI photo booth or a 360 photo booth with branded overlays and an attendant. Read how our photo booth rental works at corporate events.
We run the stage, screens, show flow and crew for a general session at the Knight Center or a gala in a Miami Beach ballroom. When part of the company joins online, we add hybrid event production in Miami with cameras and a stream. See the full scope of our event production company work.
At MBCC, Encore is the preferred AV provider, not an exclusive one, so many shows let you bring your own. We supply sound and LED screens, and projector rental in Miami comes with a technician on site. Details are on our AV rental with technicians page.
Each Miami venue has its own dock times and badge rules, and our staff plan around them. Our operators run every station, brief guests and keep the line moving. Learn more about our event staffing.
For team building in Miami, we run simulator races and challenge formats on a Brickell office floor or in a Miami Beach ballroom.
We plan the program for an incentive group or a board offsite: venues, transport between Brickell and Miami Beach, dinners and the activities in between.
Corporate entertainment in Miami follows the calendar. Racing simulator rental is a natural pick on F1 weekend in Miami Gardens, and VR rental fits a tech booth at eMerge. Flight and surf simulators round out the list.
Yes. We have two bases, Los Angeles and Orlando, and work across the U.S. The same team can run Orlando corporate events and corporate events in Tampa, so your Florida dates stay with one crew.
Yes, with a covered fallback. Between May and October, we pick a venue with an indoor room that fits the same program, and we set the time to switch with the venue manager the day before.
It's busy. Art Basel and its satellite fairs fill the first week of December, so a party that week needs an early venue booking. We check your date against the fair calendar before you sign with a venue.
Only through the venue. Sodexo Live! controls food and drink, samples are capped at 2 oz of food and 3 oz of drink, and the sampling form is due 14 days before. We plan the station around those limits.
Every Miami event gets a custom quote. It depends on the format, the number of stations and hours, travel, and venue labor at union buildings like MBCC. Tell us whether the venue is in Miami Beach or the City of Miami, because the permits differ.
Send us the venue, the date and the guest count. We'll check the building's rules and our calendar, and reply right away.
Share the event type, date, venue, guest count and budget. If you exhibit at MBCC, add the show name and booth number. Or call +1 213 912 1010
