Plan a corporate event in Tampa around TCC show weeks and Water Street ballrooms, with racing simulators, AI photo booths and sound on site. We have two bases, Los Angeles and Orlando, and work across the U.S.
Most corporate rooms in Tampa sit within a mile of the river mouth, so your venue choice decides the dock, the elevator and the walk for your guests.
Tampa Convention Center
TCC sits at 333 S. Franklin Street on the Riverwalk. The exhibit hall is on the third floor: 200,000 sq ft under a 30 ft ceiling, split into sections from 75,000 sq ft. Twenty covered bays serve that level, and a 10 by 20 ft freight elevator rated for 10,000 lb links the floors. We confirm which bay your hall uses before move-in day.
JW Marriott Tampa Water Street
Its Tampa Bay Ballroom covers 29,060 sq ft, the largest hotel ballroom on the bay. A glass skybridge joins it to Tampa Marriott Water Street, so an exhibitor can run the booth at TCC and host the client dinner across the street.
Armature Works
This former streetcar depot in Tampa Heights holds up to 550 guests for dinner in The Gathering, or 1,200 for a reception. Brick walls and a river view suit an awards night with a racing leaderboard on the side.
The Florida Aquarium
You can book the whole building for an evening, including the Bayview Rooftop Terrace over Tampa Bay. It's a short walk from TCC, which makes it a convention-week favorite.
Benchmark International Arena
The Lightning's arena in the Channel District carried the Amalie name until August 2025. Its 11,000 sq ft outdoor deck faces the downtown skyline and works for a branded pre-game party.
Tampa convention calendar
Big weeks fill downtown hotels and the TCC docks, so book your stations early if your date lands near one of these.
1
Step 1: January 2027
Collect-A-Con runs January 9 to 10.
The FMEA music educators' conference takes the whole building January 13 to 16 with more than 10,000 people, and Build Expo follows January 20 to 21.
2
Step 2: Late January
Gasparilla Pirate Fest fills Bayshore Boulevard on January 30, 2027, with about 300,000 people.
Companies book hospitality areas along the parade route.
3
Step 3: April
The Tampa Home Show uses the West Exhibit Hall on April 3 to 4, 2027.
4
Step 4: May
SOF Week, hosted by U.S. Special Operations Command, brought nearly 20,000 people to TCC on May 18 to 21, 2026.
Setup rules at Tampa Convention Center and city permits
Florida is a right-to-work state, so your own people can do more at TCC than in many union halls. Here is what that means for your booth and your outdoor plans.
01
Your own staff can build
Full-time employees of the exhibiting company may set their own exhibit. Extra hands come from the Local Decorators union, hired through an exhibitor-appointed contractor (EAC) or the show's general contractor.
02
Freight goes through the contractor
You may hand-carry items, but carts and dollies aren't allowed. The general contractor controls the docks, and on GES shows electrical, plumbing and drayage come only from the official provider.
03
Power, rigging and internet
Riggers hang every overhead sign, and electricians handle the wiring. Encore runs AV and rigging in the building, and Smart City supplies internet, so we fit the setup to your booth, confirm space and power with you and order them before the show deadline.
04
Insurance
A GES show at TCC asked each EAC for a certificate of insurance 30 days before move-in, with $1 million in liability coverage and TCC as additional insured. We send our insurance documents to your show and venue on request.
05
Outdoor events on city land
The City of Tampa requires a special event permit for 25 or more people on a street, right-of-way or park. File 90 days ahead if you need street closures, city services or alcohol, and 60 days ahead for a park-only event. Over 300 guests, the fire permit and event plan need approval 10 days before.
06
A two-city program in Central Florida
Planning a two-city program in Central Florida? Our Orlando office and warehouse sit at 310 N Orange Ave, a short drive from the Orange County Convention Center, home of IAAPA Expo in November and the PGA Show in January.
Each district has its own load-in, parking and guest mix, so tell us the address early.
Downtown and Water Street. Water Street Tampa is a 56-acre, $3.5 billion district around TCC and the Water Street hotels. Its first phase opened Sparkman Wharf in 2018, a waterfront spot for an after-show reception.
Channel District and Harbour Island. The arena sits in the Channel District. Across the Garrison Channel, Tampa Terrace at The Pointe on Harbour Island has a 5,500 sq ft open-air terrace for 150 or more guests.
Tampa Heights and the Riverwalk. The Riverwalk runs 2.6 miles from Armature Works to Sparkman Wharf. Guests can walk from a session at TCC to a dinner upriver without a shuttle.
Ybor City. Cigar makers built this district from 1885, and it's now a National Historic Landmark District. Old factory buildings and social clubs host company parties on 7th Avenue.
Westshore. Tampa's largest office market has 15.3 million sq ft of offices, more than 6,500 businesses and about 100,000 employees. Hotels near the airport and Raymond James Stadium host sales meetings and training days.
Who hosts corporate events in Tampa
Tampa's employers run different kinds of events, and the right station depends on who's in the room.
Defense and government contractors
MacDill Air Force Base hosts U.S. Central Command and U.S. Special Operations Command, and the regional military industry is worth about $14 billion. Contractors at SOF Week need a booth draw that suits engineers and operators: a flight or racing simulator with a timed leaderboard does that.
Raymond James has its headquarters in St. Petersburg, and JPMorgan Chase, Citi and USAA run large Tampa offices. Banking, finance and insurance employ more than 344,000 people around the bay. Their events are client appreciation nights, advisor conferences and staff holiday parties, where an AI photo booth with your brand on every portrait fits well.
FMEA, Build Expo and other annual shows bring exhibitors who need traffic at the booth. For these weeks we plan the stage AV and the interactive station on one floor plan.
Book one service for a TCC booth or combine several for a Water Street party. Operators come with each one.
Photo booth rental in Tampa
A photo booth works best at a Water Street ballroom party or an aquarium buyout, where guests take portraits home with your logo. We bring AI and 360 photo booths with an attendant, and the same truck can carry speakers, microphones and screens if you need AV rental in Tampa too.
Team building activities in Tampa
In summer, plan it for the morning or move it indoors, because storms usually arrive between 2 and 6 PM. From October to April, a Riverwalk challenge or a park program works well outside. See our corporate team building formats, from simulator races to group challenges.
Interactive rentals
Racing simulator rental in Tampa suits a defense contractor's booth at TCC or a sales kickoff at a Westshore hotel. Flight and surf simulators, VR stations and AI photo booths come from the same fleet. Browse all interactive event rentals and pick the mix.
Questions about corporate events in Tampa
Can we book a Tampa date and a Miami date together?
Yes. We also run Miami corporate event planning. Send both dates in one request, and you get one quote and one crew schedule for the Florida leg of your program.
Can our own staff set up our booth at Tampa Convention Center?
Yes, if they're full-time employees of your company (see the setup rules above). Union crews work at straight-time rates only Monday to Friday, 8 AM to 4:30 PM, so plan a weekday move-in if your show allows it.
What insurance does TCC ask from an outside contractor?
Your show kit sets the terms, and the GES example in the setup rules above shows a typical one. Send us the kit, and we'll return our insurance documents before the move-in deadline.
Can we plan an outdoor event in Tampa in summer?
Yes, with a covered plan B. Afternoon storms are the daily risk (see team building above), and hurricane season runs from June 1 to November 30. Agree on an indoor space with the venue before you sign.
Do we need a city permit for an event on the Riverwalk or in a city park?
Yes, for 25 or more people on city property, with the deadlines in the setup rules above. The City also asks for liability insurance that names it as additional insured, and we send our documents for that file.
How does SOF Week change our plans in May?
SOF Week fills TCC and nearby hotels, and some downtown streets close for the waterfront demonstration. If your client reception falls that week, give us the date early so we can plan deliveries around the closures.
Can you plan the whole program in Tampa?
Yes. As your corporate event planner in Tampa, we shortlist venues from Armature Works to the aquarium, set the date around the big TCC weeks and file the City permit for any outdoor part. You get one quote for the program, production and interactive.
How do you price a Tampa event?
Every Tampa event gets a custom quote. It depends on the stations and hours, on what your venue supplies (at TCC, power comes from EDLEN and internet from Smart City on the show forms). Read how we build a quote, then send us the date and the venue.
Check your Tampa date
Send the date, the venue and the guest count. We'll check the TCC or hotel rules and our calendar, and we'll reply right away.
Share the event type, the date, the venue or district, the guest count and your budget. For a TCC show, add the hall and your booth number. Or call +1 213 912 1010
