Corporate Events in Orlando: Full-Service Planning

Plan Orlando corporate events with a team that keeps its office and warehouse in town, so simulators, photo booths and screens are a short drive from International Drive. Orlando is one of our two bases, and Los Angeles is the other.

Orlando event venues for corporate events

Orlando's big rooms are huge, so the right hall, dock and timing decide your setup more than the venue name does. Booking a smaller room in Winter Park or a hotel near Disney? Send us the address, and we'll confirm power, space and the freight route with the venue.

Orange County Convention Center

OCCC has 2,055,222 sq ft of exhibit space in two buildings on either side of International Drive. The West Building alone holds 1,104,940 sq ft on one level, served by 97 covered loading docks. The Valencia Ballroom adds 62,182 sq ft for a general session or an awards dinner. Tell us the building, the hall and the booth number, and we route the truck to the right dock.

Hyatt Regency Orlando

The hotel has 315,000 sq ft of event space and a walkway to the convention center. It suits a client dinner on opening night, with no shuttle between the booth and the ballroom.

Orlando World Center Marriott

The Cypress Ballroom covers 105,000 sq ft, and the resort has 2,008 guest rooms. A sales kickoff can stay under one roof, with the general session inside and the racing stations in the foyer.

Gaylord Palms in Kissimmee

Its Florida Exhibition Hall spans 178,500 sq ft. That's enough floor for a hotel-based expo with a row of simulators along one wall.

Rosen Shingle Creek

The Gatlin Ballroom gives 95,000 sq ft of contiguous space for an awards night or a product launch with a stage and interactive zones around it.

Dr. Phillips Center for the Performing Arts

The center fills two city blocks at 445 S Magnolia Ave in Downtown Orlando. The Walt Disney Theater seats 2,700 and Steinmetz Hall 1,700, so a keynote and a lobby reception with an AI photo booth can share one building.

Orlando trade show calendar

These shows fill OCCC and the I-Drive hotels, and a busy interactive station gives buyers a reason to stop at your booth.

  1. Step 1: January

    • The PGA Show fills OCCC with golf brands and retailers.
    • The 2027 edition runs January 26 to 29.
  2. Step 2: June

    • InfoComm, the pro AV show, takes over the convention center for a week of demos.
  3. Step 3: March

    • MegaCon Orlando, the fan convention, took nearly the entire West Building in 2026 and drew over 200,000 attendees.
    • Fans line up for anything with a score.
  4. Step 4: Mid-November

    • IAAPA Expo, the theme park and attractions show, runs in mid-November 2026.
  5. Step 5: Late November

    • I/ITSEC, the military simulation and training conference, opens on November 30, 2026.
  6. Step 6: OCCC construction, 2026 to 2029

    • OCCC starts its Grand Concourse expansion in 2026, with work through 2029 and a new 100,000 sq ft ballroom at the end.
    • We check your hall and dock against the construction plan before we ship.
    • For trade show entertainment at one of these Orlando shows, send us the show name and your booth size.

OCCC labor, fire marshal, COI and permits

The rules below decide who touches your booth at OCCC and how early you file for an outdoor event.

  • Who sets up at OCCC

Florida is a right-to-work state. Your own full-time employees may set up your exhibit, and any other labor comes through the show's general contractor, which on many shows hires local IATSE crews. We plan our setup inside the rules of your show kit.

  • Power and rigging

Electrical, plumbing and rigging at OCCC are ordered from the building only. We list the outlets our stations need early, so the order reaches OCCC before the show deadline.

  • Fire marshal review

The OCCC fire marshal reviews the display layout, with dimensions of every structure, vehicle, sign and electrical item. A vehicle on the floor holds no more than a quarter tank or 10 gallons of fuel, whichever is less, with a battery cable removed. Our cockpits and screens go on that layout too.

  • Contractor COI

On GES-run shows at OCCC, each exhibitor-appointed contractor files its certificate of insurance 30 days before the first move-in day, or it can't work the floor. We send ours early, with the names the show asks for.

  • Outdoor events in the city

The City of Orlando requires a Special Event Permit when 100 or more people gather on city property. The application is due 60 days ahead, and City Council approves it. A tent needs its own permit 30 business days before setup, and outdoor loudspeakers need one 3 business days ahead.

  • Outdoor events in the county

Outside city limits, Orange County wants an outdoor public assembly application at least 35 days before the event.

Where Orlando companies hold events

The district you pick sets the commute for your guests and the load-in plan for our truck.

  • Downtown Orlando. Our Orlando office is here, at 310 N Orange Ave. Kia Center, home of the Orlando Magic, seats 18,846 for NBA games at 400 W Church St, and the Dr. Phillips Center is nearby on S Magnolia Ave. Companies with offices in the towers along Orange Avenue keep after-work events close to the desk.
  • International Drive. This 11.1-mile corridor is the city's convention district. OCCC sits at 9800 International Drive, more than 46,000 hotel rooms surround it, and Orlando International Airport is about 15 minutes away. Traffic gets heavy during big convention weeks, so we time our deliveries around the show's own move-in.
  • Lake Buena Vista and the Disney area. Walt Disney World Swan and Dolphin has more than 348,000 sq ft of meeting space. Incentive groups meet here by day and spend the evenings in the parks.
  • Winter Park. The Alfond Inn has 12,400 sq ft of meeting space, and Rollins College hosts events at 1885 Events. Leadership offsites and board dinners pick this quieter town north of Downtown.
  • Lake Nona. Medical City covers 650 acres next to the airport, with UCF Lake Nona Hospital, the Orlando VA Medical Center and Nemours Children's Hospital. KPMG runs its Lakehouse training campus nearby, so training weeks and staff appreciation days fill the area.

Orlando corporate event ideas by industry

Match the station to the people in the room, and they stay longer and talk more.

  • A flight simulator cockpit on a show-floor platform, ready for visitors

    Simulation and defense training

The Central Florida Research Park next to UCF holds Team Orlando, Navy and Army training commands and more than 140 companies. Over $6 billion in simulation and training contracts pass through the region each year. A flight simulator at a hospitality suite during I/ITSEC suits engineers who build trainers for a living.

    Rent a flight simulator

  • Two guests play VR soccer in front of a large screen at an outdoor event

    Theme parks and attractions

Ride makers and park operators meet at IAAPA every November. A surf simulator or a VR station at the booth fits a show where every visitor judges guest experience.

    Book VR experiences

  • Hospital staff in scrubs pose at an AI photo booth during a staff appreciation day

    Health care

Lake Nona's hospitals and research centers hold staff appreciation days and medical meetings. An AI photo booth with a hospital-branded frame works for long shifts, because staff can drop by between shifts.

    Book an AI photo booth

  • An incentive group at a resort evening reception with a racing simulator on the terrace

    Hospitality and incentive travel

Hotel groups and incentive planners book Orlando for its rooms and parks. We plan the program around their sessions: venues, transport and the evening activity.

We plan an incentive or a conference program around the parks: hotel blocks on I-Drive or in Lake Buena Vista, transfers from MCO, dinners and group activities. Read more about our destination management.

Team building in Orlando

Team building in Orlando moves indoors in summer, when storms roll in most afternoons. We run simulator races and team challenges in a hotel ballroom, and we can switch an outdoor morning program indoors after lunch. See our corporate team building formats.

Corporate entertainment in Orlando

Corporate entertainment in Orlando competes with the theme parks next door, so make it hands-on. A racing leaderboard or a surf simulator gives a sales team something to compete over at the awards dinner.

If your I-Drive hotel has an in-house AV team, we work beside it with our sound, screens and technician. At OCCC, we order power and rigging through the building and run show flow for a general session.

Event production in Orlando

Run of show, staging, sound, screens and interactive for a general session at a Lake Buena Vista resort or a product launch Downtown. When part of your company joins online, we plan hybrid event production in Orlando with the hotel's AV team. See event production.

Experiential marketing in Orlando

Brand activations with our own stations dressed in your colors: a sponsor zone at MegaCon, a pop-up on I-Drive near ICON Park or a launch at an IAAPA booth. See experiential marketing.

Event staffing in Orlando

The same operators can cover a multi-day show and the client night after it. They run every station, brief guests and keep the line moving, including a brand launch at IAAPA.

Interactive rentals

Racing, flight and surf simulators, VR stations and AI photo booths. For I/ITSEC week, pair a flight simulator with a racing leaderboard in the hospitality suite.

Questions about corporate events in Orlando

Do you have a team in Orlando?

Yes. Orlando is one of our two bases, with an office and a warehouse. The office is at 310 N Orange Ave, STE. 201, Orlando, FL 32801. Our second base is in Los Angeles, and we work across the U.S. The same team can also run corporate events in Tampa and Miami corporate events, so one team handles your Florida dates.

Which OCCC details should we send you?

Send the building, the hall and the booth or room number. OCCC's West and North-South buildings stand on opposite sides of International Drive, so the venue name alone doesn't tell us where to unload.

Can we plan an outdoor event in Orlando in summer?

Yes, with an indoor fallback. From June to September, storms usually hit between 2 and 5 PM. Hurricane season runs June 1 to November 30 and peaks around September 10. Orlando sits about 50 miles inland, yet we still agree on a covered backup with your venue.

How early should we plan around IAAPA or I/ITSEC week?

Plan as early as you can. Both shows run in November and fill OCCC and the I-Drive hotels. Tell us your show dates when you book the booth, so our power order reaches OCCC before the show deadline.

What does a corporate event planner in Orlando handle for us?

We find and book the venue, from an OCCC hall to a Winter Park inn, plan the program and the interactive, file city or county outdoor permits and OCCC show forms, and run the event day. Corporate event planning in Orlando starts with your date and the show or hotel you have in mind.

Can you plan a corporate retreat in Orlando?

Yes. We suggest Winter Park for a small leadership group and Lake Buena Vista for a larger team. We book the venue, plan the sessions and add one interactive evening.

Where should we hold a corporate holiday party in Orlando?

Mid-December works well: I/ITSEC has closed, the convention traffic on I-Drive has eased, and the storm season is over. A courtyard in Winter Park or a hotel ballroom in Lake Buena Vista both work. Our operators staff the stations until close.

How do you quote Orlando corporate events?

Every Orlando event gets a custom quote. It depends on the format, the number of stations and hours, power and rigging orders at OCCC and the setup window. Read how we quote, then send us your brief.
