Destination Management Company for Corporate Groups

Our DMC services take an out-of-town corporate program off your plate, from the airport pickup to the last dinner. You won't be left alone in a city you don't know: our people are on the ground before your group lands.

What DMC services cover

A destination team handles everything that happens inside the city, so you can focus on your people and your agenda.

A destination management company is a local operator that plans and runs events, activities, transportation and program logistics in one place. A travel agency books flights and hotels. A DMC works on the ground once the group arrives. If you're new to the idea, our article on what is a DMC explains how it fits next to your planner.

For a company group, a DMC usually handles:

  • Arrivals and transfers. Airport meet-and-greet, coaches and timed shuttles between hotel and venues.
  • Venues. Rooms for meetings, dinners and receptions that fit the headcount and the program.
  • Group dining. Restaurants and private rooms that can seat your group together.
  • Activities. Team challenges, tours and our own interactive stations.
  • On-site management. Staff with the group from the first transfer to the last.

A DMC with two bases, Los Angeles and Orlando

You get a team with bases on both coasts that brings the same setup to any state.

Our Orlando office and warehouse sit at 310 N Orange Ave, in one of the busiest convention cities in the country. Groups fly in for shows at the Orange County Convention Center (OCCC), such as IAAPA Expo and the PGA Show.

We've worked in a hangar venue, a studio lot, office towers and school campuses, and we check every venue before the group lands.

The guest program is ours. Simulators, VR and AI photo booths come with our operators, so your welcome night or team day doesn't depend on a vendor you've never met. For reward trips, see our incentive travel service.

How we price a destination program

You get one quote for the whole program, with each day and service listed. Every program gets a custom quote. These things shape it:

  • Group size and number of days.
  • The city and the season.
  • Transfers and the number of vehicles.
  • Venues, restaurant bookings and receptions.
  • Activities and interactive stations.
  • Staff on the ground per day.

Transfers, venues, restaurant bookings and activities come in one quote, so you're not stitching together invoices from a dozen local vendors.

Out-of-town programs

These cases show how we handle distance: shipping, access and setup in a venue we'd never seen before.

Photos from our programs

These frames show the venues and setups behind out-of-town days.

  • A flight simulator on a hangar terrace as guests arrive for an evening event
  • A trade show visitor races in a branded cockpit at a New York hotel show
  • Students try a surf simulator at an outdoor campus party
  • A coach waits outside a hotel for a morning transfer to the venue
  • A group dinner set for a corporate team in a private restaurant room
  • A host greets a corporate group at an airport arrivals hall

Insurance and venue paperwork

Venues out of state ask for documents early, so we prepare them at the start of planning.

We provide insurance documents to venues and organizers on request. We've cleared an airfield-side hangar, a studio lot and an office tower. Send each venue's requirements with your request, and we'll handle the paperwork for every stop on the program.

Where out-of-town programs break

Distance turns small misses into big ones. Here's what goes wrong and what we do instead.

  • Transfers timed to the agenda, not to flights.

Half the group waits at the airport. We build pickups from the flight list.

  • A restaurant that can't seat the group together.

Dinner splits across rooms. We confirm private rooms and seating plans.

  • Venue rules learned on arrival.

A missed load-in window stops setup. We clear each venue's rules before the trip.

  • No backup for weak Wi-Fi.

Check-in and digital activities stall. We bring our own connection.

  • Nobody local to call.

When something changes, your planner is two time zones away. Our team stays with the group in the city.

How we run your program

Each step has an owner, and you see the plan before anyone books anything.

  1. Step 1: You send the basics

    • City, dates, group size, budget and the purpose of the trip.
  2. Step 2: You get a quote

    • It shows the program outline and costs.
  3. Step 3: We build the program

    • Transfers, venues, meals, activities and a timeline by the hour.
  4. Step 4: We clear venues and vendors

    • Access and load-in times.
  5. Step 5: We set up

    • Stations, signage and check-in are ready before the first transfer.
  6. Step 6: We run the days

    • Staff with the group at every transfer and event.
  7. Step 7: We close out

    • Teardown, final checks with venues and a wrap-up for you.

Who's with your group

  • Destination lead. Your contact from the quote to departure day.
  • Program manager. Builds the schedule and books venues, restaurants and activities.
  • Transfer coordinator. Tracks flights and coaches.
  • Operators and hosts. Run activities and stations and guide guests.

Each role covers one part of the trip, and your contact stays the same throughout.

Destination management across the U.S.

Your group can land in any U.S. city. We bring the program and the people to it.

We have two bases, Los Angeles and Orlando, and work across the U.S., from California to Florida and the East Coast. In each city, we plan with local venues and suppliers and bring our own team and equipment. Two cities have their own pages: DMC in Atlanta and DMC in Chicago. Questions

What is a DMC?

A destination management company is a local operator for groups. It plans and runs transfers, venues, activities and on-site logistics in one city.

How is a DMC different from an event planner?

A planner shapes the whole event. A DMC handles everything that happens on the ground in the destination. We do both, so you don't need two teams.

Do you book flights too?

No. We run the ground program: transfers, venues, restaurant bookings and activities. Your travel agent or travel manager books flights. We work from their flight list.

How do you charge for a DMC program?

Per program. Each one gets a custom quote based on group size, days, city and services.

Do you run programs in Florida and on the East Coast?

Yes. We work in any U.S. city. Send us the city and dates, and we'll bring the team and stations there.

How do we choose between DMC companies?

Ask who will be on the ground with your group, which activities the company runs itself and who you call when the schedule changes. Our own team runs the program and the stations.

Can you work under our agency?

Yes. We've worked under an event agency for a client evening and followed its timeline and brand rules.
