Event Staffing with Trained On-Site Operators

Book event staffing with trained operators who host your guests at our flight, racing, surf, VR and photo stations. You get a crew that knows the equipment, not a list of names from a temp roster.

Event staffing that comes with the equipment

When the people and the gear come from the same team, nobody waits for the other vendor.

When staffing is split, one company rents the equipment and another sends people who've never seen it. Our operators set up the station they'll run. They know every cable, so a reset takes seconds, not a phone call.

That also means they arrive early. At Hangar 21, our operator got there at 1:30 PM, and the station was ready by 4:30 PM for a 6 PM start.

An event staffing agency that runs the activity

You get staff who host the activity itself, not just stand next to it.

We build the crew around what your guests will do. Custom event staffing means the crew fits the plan, down to the outfit.

For the full build behind the crew, see our event production company page.

Who's on your event staffing team

Pick the roles your event needs, and we'll plan them as one crew.

  • Operators.

Run a station, brief each guest and keep the line moving.

  • AV technicians.

Handle speakers, mics, screens and sound checks.

  • Event lead.

Plans shifts, timing and changes on the day.

  • Event hosts and registration staff.

Greet guests, check them in and point the way.

  • Marketing event staff.

Talk to visitors at a booth and collect contacts. For booth teams, see our brand ambassador agency page.

Costumes or uniforms that fit your event, on request.

What shapes the price

You'll see the cost of your crew before you book, and it takes minutes. Each event gets its own quote.

  • Roles and headcount.
  • Hours on site, including setup and teardown.
  • Number of event days.
  • Your city and travel.
  • Equipment the crew will run.
  • Outfits or costumes.

Surf Simulator for EF Academy's Luau Party in Pasadena

The school called two days before its party. One operator ran the surf station for EF Academy, and school staff helped organize the line. The next day, our team followed up and sent the school event photos.

Our crews on site

Real staff at real events.

  • The operator explains the controls to a guest at a flight station
  • Guests wait their turn as the operator runs the flight station
  • Students line up at the surf station on a lawn
  • Two racing stations with a team member in the frame
  • A host checks guests in at a registration desk
  • An operator shows a guest how to hold the wheel

Insurance and venue paperwork

Your venue gets our papers before load-in, so the crew gets through the door on time.

We send insurance documents to venues and organizers on request. We also agree access with the venue ahead of time: arrival time, loading dock, floor and passes for each crew member. Add your venue's vendor rules to the request, and we'll check them early.

What goes wrong with event staff

A few common problems sink event staff. Here's how we avoid them.

  • Late arrivals. Staff who show up at doors-open leave no time to fix anything. Our crews arrive hours ahead.
  • Staff who don't know the equipment. They can't reset it when it stops. Ours set it up themselves.
  • Nobody in charge. Without a lead, you end up managing the crew. Our lead does it for you.
  • Passive staff. People who wait to be asked leave stations empty. Our operators invite guests in.
  • No plan for the line. Long waits drive guests away. Our operators shorten turns when the queue grows.

How we staff your event

You'll know who's coming and when, before event day.

  1. Step 1: Tell us about the event

    • Date, venue, guest count, hours and what guests will do.
  2. Step 2: We plan the crew

    • Roles, headcount and outfits.
  3. Step 3: You get a quote

    • Every role and hour listed.
  4. Step 4: We agree access

    • Arrival, dock, passes and insurance with your venue.
  5. Step 5: We arrive and set up

    • For a multi-day show, that can mean the day before.
  6. Step 6: We run the day

    • The lead checks in with you; operators host guests.
  7. Step 7: We pack up

Who leads the crew

  • Event lead. Works as your event staffing manager on site: plans shifts, briefs the crew and handles changes.
  • Operators and technicians. Run their stations and report to the lead. At a four-station racing social, two of our team members guided every driver.

You get one person to call and a crew that answers to them.

Two bases

Los Angeles and Orlando

West CoastEast CoastNationwide

We have two bases, Los Angeles and Orlando, and work across the U.S., including Florida and the East Coast. Our crew and equipment travel to your event, so you don't need a new vendor in each city. For a school event near Raleigh, we sent a station and operator across the country. Planning in Manhattan? See corporate events in New York City.

Questions

Do you provide temp event staff for one day?

Yes. A single day works, and so do multi-day shows.

Can you supply bartenders and wait staff?

No. Bartenders and wait staff come from your venue or your caterer. We staff the event floor: hosts, registration, brand ambassadors and station operators, and we share the run of show with the food team.

Do you handle event security staffing?

Yes, through our event security services.

Can you staff a convention or a festival?

Yes. We've worked a three-day trade show in New York and outdoor company events. For convention staffing, we follow each show's rules for badges and hours, whether the show is in Las Vegas or at the Orange County Convention Center in Orlando.

Do you staff private parties?

Yes. We've staffed a bar mitzvah, a school party and company socials.

How far ahead should we book?

As soon as you have a date. Short notice can still work: EF Academy booked two days ahead.
