Company Picnic Planning with Games and Simulators

We plan your company picnic and bring the games people line up for: surf and racing simulators, VR and carnival classics. Your coworkers and their families get an afternoon of play, food and music.

A downtown plaza, a school lawn and a corporate campus, each with its own crowd.

What makes company outings worth the afternoon

A good corporate outing gives people a reason to talk to colleagues they never sit next to. That depends on what there is to do.

  • Food and a lawn aren't enough. After lunch, people sit with their own team, check phones and leave by three. Shared games break that up. A leaderboard gets departments competing, and a surf ride gets the whole crowd cheering.
  • A smaller office picnic on the company lawn works the same way, with fewer stations.

Company picnic planning, start to finish

You hand us the whole day. We plan it, bring it and run it, and your team gets to enjoy the picnic too.

We start with your guest list: employees only, or families as well. Then we pick the venue and the company picnic entertainment for that crowd. A corporate picnic for adults looks different from a family day with kids.

Themes help. A Hawaiian luau goes well with a surf simulator. A corporate summer party can also follow a city theme, a sports day or a carnival.

Company picnic games and entertainment

  • Surf simulator. A balance ride on a board with a game screen and a leaderboard.
  • Racing and flight simulators. Timed laps and landing challenges with a ranking everyone can see.
  • VR sports. VR Baseball, VR Hockey and VR Soccer, with a big screen so the crowd follows each play.
  • Classic games. Ring toss, ball toss and other carnival games for kids and adults.
  • AI photo booth. Branded photos, printed on site.
  • Sound. Speakers, a microphone and a DJ table for music and announcements.
  • Food. Popcorn, cotton candy and snow cone concession machines. Meals come from your venue or your caterer.

These are the corporate activities we bring to a picnic.

What goes into your picnic quote

You'll see the full quote for your picnic within minutes, with every station and service listed.

We don't use fixed packages. These things shape the number:

  • Guest count, and whether families come.
  • Venue and tents, if we arrange them.
  • Which company picnic rentals you pick and how many operators run them.
  • Hours on site.
  • Branding on stations and printed photos.
  • Your city and travel. We have two bases, Los Angeles and Orlando.

Surf Simulator for EF Academy's Luau Party in Pasadena

We got the request two days out and arrived at 5 PM for a 7:30 to 9:30 PM party. On the lawn we checked light, a level surface, power and room for the line. A 50-inch TV worked as the outdoor screen. The next day, we sent the school its event photos.

Here's how our stations look on grass and pavement, with the crowd around them.

  • Exercise bikes with a game screen under a canopy at an outdoor event
  • Two players in VR soccer outdoors in front of a big screen
  • Families play carnival games on a lawn at a company picnic

Company picnic venues, permits and power

Outdoor sites need paperwork and power planning, and we handle both before the day.

Parks and plazas have their own rules. Many public parks are first come, first served, and you need to know how early to hold your spot. Tents add a permit: under the International Fire Code, which many cities adopt, tents over 400 sq ft need fire marshal approval.

Power is the other question. Our stations need outlets or a distribution plan, and screens need shade to stay readable. We check both with you or the venue. Venues and property managers get our insurance documents on request.

What ruins a picnic

Here's what goes wrong outdoors and how we prevent it.

  • No shade.

Guests and screens both suffer in full sun. We plan tents over stations and seating.

  • No power where the games are.

Extension cords across the lawn trip people. We plan distribution in advance.

  • Unstaffed games.

A game with nobody running it sits empty. Every station gets an operator.

  • One long line.

One big attraction and nothing else means waiting. Several stations spread the crowd.

  • No rain plan.

Book a rain date or a tented fallback when you book the venue. Our blog has a longer list of company picnic ideas.

How we plan your picnic

You'll know every step ahead of time, from the first message to the last tent coming down.

  1. Step 1: You send the basics

    • Date, city, guests and whether families come.
  2. Step 2: We suggest a plan

    • Venue, stations and a theme.
  3. Step 3: You get a quote

    • You review it with your team.
  4. Step 4: We clear the site

    • We confirm the venue's rules before setup.
  5. Step 5: We set up

    • Tents, stations and sound go in hours before guests arrive.
  6. Step 6: We run the day

    • An event lead on the radio keeps the schedule.
  7. Step 7: We pack up and send photos

    • The site is clean when we leave.

Who runs your picnic

Your staff are guests at their own picnic. Our people handle the work.

  • Event lead. Plans the day with you and runs the site.
  • Operators. One at each station, guiding guests and managing the line.
  • AV technician. Runs music and announcements.
  • Setup crew. Builds tents, stations and power, then clears it all.

Company picnic questions

How much does a company picnic cost?

Every picnic gets a custom quote. Guests, venue, food, stations and city set the number.

Do companies still have company picnics?

Yes. A weekday staff picnic often gets better turnout than a Saturday one.

What games work best at a picnic?

A surf or racing competition with a leaderboard, VR sports, carnival games, an AI photo booth and a short awards moment at the end.

How do I plan a picnic for a large group?

Start with the guest list and the venue, then plan food lines and seating. Send invitations four to six weeks ahead.

What are good company outing ideas besides a picnic?

A sports day with a shared leaderboard, a luau with a surf simulator, a carnival afternoon or a fall festival. Each one works in a park, on a campus lawn or in a parking lot with tents.

What should we bring to a company picnic?

The guest list, the food plan with your venue or caterer, and prizes if you want them. We bring the stations, tents, sound and the people who run them.

Do you plan the whole picnic or only bring games?

Both. We can plan the whole company summer party or bring only the games and operators.

Do you do a corporate fall festival?

Yes. The same stations work in the fall, and we can add a harvest or Halloween theme.
