Company Picnic Ideas for Teams of Every Size

The best company picnic ideas fit your headcount: a game that keeps one small office laughing gets lost at a family day for a whole campus. Here are ideas sorted by team size, with games, food and themes.

Start with headcount and guests

Pick ideas after you know two things: how many people are coming and whether families are invited. A small team can share one activity. A large group needs several stations spread across the space, so nobody spends the afternoon in one line.

Good company outings mix a competition, something relaxed for people who don't want to compete, and food close to the games. Add shade, a rain plan and a prize, and most picnics take care of themselves.

Company outing ideas by team size

Use the size of your group to pick the format, then add games and food from the lists further down.

Small team: one shared activity

For a staff picnic of one office or one department, keep everyone together.

  • Lawn tournament. Cornhole, giant Jenga or ring toss in short rounds, with a bracket on a whiteboard.
  • One simulator and a leaderboard. Everyone takes a turn, and the fastest time wins lunch for their table.
  • Grill and potluck. A coworker runs the grill while everyone brings one dish.
  • Office picnic on the roof or patio. No travel, and people who can't leave for long still join.

Department or several teams: stations and a leaderboard

Once you have more people than fit around one game, set up a few stations and keep one shared ranking. That's how fun company outing ideas turn into a full afternoon.

Capital Group used this format at an employee social with a Hawaiian Luau theme. We brought four racing stations at an office luau social, and all of them fed one leaderboard on a separate screen, so the whole room followed the race.

Team challenges work at this size too. Mix departments into teams and score them across all the stations, so the event becomes a corporate outing where people meet colleagues they don't sit near.

Whole company or family day: zones and a schedule

A big employee picnic needs zones: active games, a quiet area, a food area and a stage or speaker for announcements. Spread the most popular attractions apart so lines don't block each other.

At Capital Group's summer social for employees, guests could surf, play VR Baseball or VR Hockey, or make an AI photo with prints. Four QSC speakers carried music and announcements across the space, and shade tents covered the stations.

When families come, plan for every age. At an employee and family open house at Parker Aerospace, our operator shortened each flight simulator attempt when a line formed, so more employees and family members got a turn.

Company picnic themes

A theme gives your invitation, decor, playlist and prizes one idea to follow.

  • Luau. Leis, tiki torches and a surf simulator. We ran a surf simulator at EF Academy's campus luau that was booked two days before the party.
  • Carnival. Midway booths, popcorn, prize tickets and a hi-striker.
  • Hometown pride. Local sports, local food and a photo booth with city-themed looks.
  • Field day. Teams in colored shirts, relay races, a corporate 5K walk or run, and a trophy for the winning department.
  • Fall festival. Pumpkin decorating, cider and lawn games when the picnic moves to October.

Company picnic games and activities

Mix games people can try in a minute with games that reward a second try.

  • Classic lawn games. Sack races, tug-of-war, three-legged races, water balloon toss.
  • Midway booths. Ring toss, ball toss and other carnival games with an attendant handing out prizes.
  • Simulators. Surf, racing and flight simulators with a leaderboard that brings people back for a second try.
  • VR sports. Baseball, hockey or soccer in a headset, with a big screen so the crowd can watch.
  • Quiet options. A photo booth, a painting table, karaoke or a puzzle tent for people who'd rather not compete.

Give each game an owner. A ring toss with no one running it sits empty after the first hour.

Company picnic food

Food decides where people gather, so put it near the games.

  • Grill or barbecue for a classic corporate picnic.
  • Food trucks for a big crowd and several cuisines.
  • Boxed meals when the schedule is tight.
  • Snack stations with popcorn, cotton candy and snow cone machines run by an attendant.
  • Cold drinks and shade next to the active games.

Always offer at least one vegetarian option and ask about allergies when people RSVP.

Timing, weather and logistics

Send the invitation at least 4 to 6 weeks ahead. July is peak vacation season, and a weekday picnic often gets more people than a weekend one.

Make the picnic long enough to eat, play and give out prizes, and no longer. Dead time at the end is when people start leaving.

Plan for sun and rain. Book tents, fans or an indoor fallback when you book the venue. In Florida and across the South, summer afternoons are hot and often stormy, so put shade over every line and keep a covered space close. Coastal picnics on a beach or bluff add wind and sand, so weigh down tents and keep screens out of the spray. In many places a tent over 400 sq ft needs a fire permit, so ask your venue or rental company early.

Check company picnic venues for power near the game area, restrooms, parking and the time you can start setting up. Simulators and sound need outlets, and long extension cords across a lawn trip people.

Summer work outings fill vendor calendars fast. Demand peaks from April to September, so book entertainment early for those months.

Many of these company summer event ideas also work indoors. Racing stations and photo booths fit an office floor or a ballroom, so the party can move inside when the weather turns.

Questions

What are good staff outing ideas that aren't a picnic?

A bowling or arcade afternoon, a cooking class or an office game day with simulators all work. The same rule applies: one shared activity for a small team, stations for a big one.

How do we run an office picnic without leaving the building?

Use a roof deck, patio or large meeting room. Indoor-friendly games like racing stations, VR and a photo booth make it feel like an event, and nobody needs to drive.

What can people do if they don't like sports?

Give them a photo booth, a painting table, karaoke or a shaded lounge. Not everyone wants to compete, and they still come for the food and the company.

Can a company summer party move indoors if it rains?

Yes, if you plan it. Choose stations that work indoors and outdoors, and agree on an indoor room or tent with the venue when you book.

Do you do a corporate fall festival?

Yes. Carnival games, concession machines and simulators work in October as well as in July.

Do you plan picnics outside big cities?

Yes. We bring rentals and crew to parks, campuses and offices anywhere in the U.S., and we plan the site with your venue by phone and photos first.

Can you plan and run the whole picnic?

Yes. You can rent single stations with operators, or have us plan and run the whole afternoon. Read how we quote to see what goes into the price.
