Corporate Hospitality Events for Clients and Partners

Our corporate hospitality services give your clients an evening with something to try, watch and talk about, with a host who brings each guest in. You spend the night with your guests, not with vendors.

What corporate hospitality is for

A hosted evening tells clients they matter to you, and it gives your team hours of easy conversation with them.

Corporate hospitality means a company entertains the people it works with: clients, partners, sometimes its own staff. The goal isn't the dinner. It's the relationship, and the evening is where it gets stronger.

That only happens if guests relax. They often arrive after a full workday, and many don't know each other. One good activity solves that. When a colleague takes the controls and the room starts cheering, your sales lead doesn't need an icebreaker.

An evening built around your guests

You decide who's invited and what they should remember. We plan the night around that.

  • Venue and access. We find the room or work with the one you've booked, and we clear load-in, power and paperwork with it.
  • Food and drinks. The venue's kitchen or your caterer serves dinner, and we time the activity and the talent around the courses.
  • One activity that fits the theme. We match it to the venue and the mood of the night. An operator runs it all night.
  • Talent between courses. Magicians and other roaming entertainers work the room so tables don't go quiet.
  • Sound and screens. Our own speakers, microphones and displays for welcome words and music.

What your guests notice

  • A host at every station. Guests who've never tried a simulator get talked through it, so nobody feels awkward in front of their peers.
  • Your brand where it counts. We brand station panels, screens and AI photo looks with your logo and colors. Guests take printed photos home.
  • Staff dressed for the theme. Operators can wear outfits that match your theme, with accessories you provide.
  • One contact for the whole night. You don't coordinate the rental company, the AV vendor and the crew separately.

Your clients see a polished evening. You get a team that handles what happens behind it.

Want the activity to carry a product message too? That's where experiential marketing comes in.

Corporate hospitality packages

Your package is built around your guest list and your venue, and the quote takes minutes. We don't sell fixed packages with a price tag. Each one is put together from what your evening needs:

  • Guest count and the hours of the event.
  • Venue: one you've booked, or one we source.
  • Activities and how many stations.
  • Branding, printed photos and themed staff outfits.
  • Sound, microphones and screens.
  • The city. Crew and equipment come from one of our two bases, Los Angeles or Orlando.

Corporate hospitality examples

Two events, two audiences: customers and a company's own people.

Flight Simulator for "Take Flight with Sysmex" at Hangar 21, Fullerton

The agency behind this night, TBX, needed an activity that matched an aviation venue and welcomed guests who had never flown. After looking at two simulators, it booked one staffed station. Afterward TBX wrote to us that its team and its client were pleased with the product and with our professionalism.

Venue access and insurance

Your venue gets our paperwork before load-in, so nothing stalls the setup.

Office towers, hotels and venues near airfields each set their own access rules, so we clear them with the organizer and the venue well before the evening. We send insurance documents to any venue or organizer that asks. Put your venue's requirements in your request and we'll check them first.

Where client evenings go flat

A hosted night can feel like a cocktail hour that nobody remembers. These are the usual causes.

  • Nothing to do but talk.

Guests who don't know each other stay with their own group. One shared activity gives them a reason to mix.

  • An activity nobody dares to try.

Without a host, guests watch from a distance. Our operator invites them in and explains the controls.

  • A theme that stops at the decor.

If the venue has a strong theme, the activity should match it. We match the station and the staff to the setting.

  • Setup during arrival.

Guests walking in on cables and boxes is a poor first impression. We finish and test hours ahead.

  • Too loud for conversation.

A booming game next to the dinner tables ends every talk. We place stations away from where people sit.

From first call to last guest

Here's what happens after you send your request.

  1. Step 1: You tell us about the night

    • Date, city, venue, guest count and who's coming.
  2. Step 2: You get a quote

    • It lists the activities, staff and options.
  3. Step 3: We plan the evening

    • Theme, activity, branding and the run of the night.
  4. Step 4: We clear the venue

    • Access, power, load-in times and insurance documents.
  5. Step 5: We set up and test

    • Stations and sound are ready before the first guest.
  6. Step 6: We host

    • Operators run each station and keep the line moving.
  7. Step 7: We pack up

    • Teardown starts after the last guest, on the venue's schedule.

Who works the evening

Everyone on site works for the same team, so one call reaches all of them.

  • Event lead. Plans the night with you and the venue, runs setup and stays your contact until teardown.
  • Operators. One per station, in theme outfits if you like. They guide each guest from the first step.
  • AV technician. Runs speakers and microphones for speeches and music.

Questions

What works in a hospitality suite?

Pick one activity guests can try in a few minutes and that suits the room. A flight or racing simulator, VR sports or an AI photo booth with your logo all work in a suite or a lounge.

Can you host our clients at the Super Bowl?

No, we don't sell game tickets. If you've booked a suite or a space near a big game, we can bring the program into it: activities, staff, sound and branding.

What do corporate hospitality services include?

Our part is the evening program: the venue search or work with your venue, one activity with operators, entertainers, sound, screens and branding. The venue or your caterer handles food and drinks.

Do you work with event agencies?

Yes. Agencies such as Event Collective and Kid's Bash OC book us for their own clients.

Our guests aren't gamers. Will they join in?

Our operator stands next to each guest and explains the controls in a minute. First-timers join once someone shows them how.

How much does a client evening cost?

Every event gets its own quote. Guest count, venue, hours, activities and city shape it. Send the details through the form below.

Can you run a hospitality event outdoors?

Yes. We bring shade tents, power distribution and internet for the stations that need it.

Ask about your venue

Send us the date and where you're hosting. We'll check our availability right away and come back with a plan for the night. Tell us the event type, date, city, expected guest count and budget. Add who your guests are and the venue, if you have one. Or call +1 213 912 1010
