Biotech and life sciences
Kendall Square companies host investor nights and milestone parties. An AI photo booth with a branded frame gives scientists a reason to leave the lab bench for an hour.
480+ corporate events · 5 years
Book corporate events in Boston that work with the city's strict convention halls, winter load-ins and fire inspections. We bring simulators, photo booths and AV to Seaport, Back Bay or Cambridge.

Boston's two convention centers are run by one authority with two sets of rules, so the building you book shapes the whole setup. Planning around a hotel ballroom, a museum or a Cambridge lab building? Send us the address, and we'll check the freight route, the elevator and power with the venue.
Menino Convention and Exhibition Center
The former BCEC at 415 Summer Street was renamed in July 2025. It has 516,000 sq ft of exhibit space in three bays that can split or join, 82 meeting rooms and a 40,000 sq ft ballroom.
Hynes Convention Center
The Back Bay center at 900 Boylston Street has 176,480 sq ft of exhibit space in four halls and a 24,544 sq ft ballroom. It can host up to four events at once, so we confirm which hall and which entrance are yours.
Westin Boston Waterfront
The 793-room hotel stands next door to the Menino Center. Its ballrooms suit a client reception after the show floor closes.
Encore Boston Harbor
The resort and casino in Everett sits on the harbor north of the city. It suits a company party or an awards night when you want the whole evening in one place.
These dates move hotel prices, street closures and dock times across the city.
Boston has a reputation as one of the strictest labor cities in the U.S., and planning for it keeps your setup on schedule.
Menino Center labor
Your full-time employees may set up and take down your booth, and power tools are allowed. Electricians (IBEW) and Teamsters hold the jurisdiction for other work. The center itself handles electrical service, lighting truss and AV rigging.
Your own truck
Full-time staff may unload their own vehicle, but a rental truck must be shorter than 24 ft.
Hynes labor
Teamsters Local 25 install and dismantle exhibits unless your full-time employees do it. Electrical orders go through the Hynes.
Stricter than the manual
The exhibit contractors' association warns that Boston halls work stricter in practice than the written rules suggest. We confirm every task with the show contractor before move-in.
Fire department
A Boston Fire Department detail is hired at the event's expense, and a flame resistance certificate for booth materials stays on site. Hazers aren't allowed in exhibit hall booths. Any decorations and furnishings in a Boston venue, even temporary ones, need flammability certificates.
The neighborhood decides how guests arrive and how our truck reaches the dock.
Choose the activity by who's in the room, and your guests will stay and talk longer.

Team building activities in Boston follow the season. From late spring to fall, groups take the Freedom Trail, a 2.5-mile route past 16 historic sites, as a scavenger hunt, or head out to the Boston Harbor Islands. Browse our team building programs.
Seaport launches and December parties in Back Bay hotels suit a photo booth. We bring an AI photo booth with your branding or a 360 photo booth with slow-motion clips, plus an attendant. See how our photo booth rental works.
At the Menino Center, the building handles electrical and rigging, so we plan our screens, sound and projectors around its orders. In a Back Bay hotel, we work beside the in-house team. For hybrid event production in Boston, we add cameras and a stream, and we can run the show flow. Details are on our AV rental with technicians page.
We plan the program for an incoming group: hotels in Seaport or Back Bay, transfers from Logan, dinners and harbor activities. See our destination management work.
A product launch in Kendall Square or a booth at a Menino Center show needs people to stop and try something. We build the activation around a simulator or a 360 booth, and our operators run it every open hour.
Corporate entertainment in Boston starts with the room. Racing simulator rental fits a client night in a Financial District tower, and VR rental works for a booth at PAX East. Flight and surf simulators round out the fleet, and event staffing comes with every station: our operators run them.
We have two bases, Los Angeles and Orlando, and work across the U.S., the Northeast included. From mid-November to early April we agree a backup delivery window with the venue in case of snow, and we book the Menino Center dock or the hotel's freight elevator before the truck leaves. The same crew covers corporate events in New York and Philadelphia corporate events, so a Northeast tour stays with one team.
Boston averages 49.2 inches of snow a season, mostly from mid-November to early April. Indoor formats work best then: a simulator tournament with a leaderboard, a VR challenge or an AI photo booth contest in a hotel ballroom.
Yes, if they're your full-time employees. Other labor goes through the show's union crews, and electrical work goes through the building. We plan our station setup inside the same rules.
It can. The race runs on the third Monday of April and finishes on Boylston Street in Back Bay. For an event near the Hynes that week, we plan delivery days and routes around the closures.
We bring flame resistance certificates for our booth materials and any decor, because the Boston Fire Department checks them. We also send our insurance documents to the venue on request.
A Seaport hotel ballroom or a harbor-side resort in Everett both work for a December party, with no outdoor time in the cold. Our operators stay at the stations until the last guest leaves.
Every Boston event gets a custom quote. It depends on the format, the number of stations and hours, travel from one of our two bases, union labor and electrical orders at the hall, and any Boston Fire Department detail the venue requires. Read how we quote, then send us your brief.
Tell us the date, the Seaport or Back Bay venue and your headcount. We'll check the hall's labor rules and our crew's calendar, and reply right away.
Share the event type, the date, the venue or neighborhood, the guest count and your budget. If you're exhibiting, add the convention center and the hall. Or call +1 213 912 1010
