Corporate Event Venues Found and Booked for You

We shortlist corporate event venues that fit your guest count, budget and program, then check each one the way a setup crew would. You sign a contract after the load-in, power and fine print have been reviewed, not before.

The room that looks best in photos isn't always the one that works on the day. Our check catches the difference early.

  • A venue listing shows capacity and a few pictures. It doesn't show that the second floor is stairs only, the dock closes at noon or the Wi-Fi drops with a full room.
  • We've loaded equipment into a hotel show floor, a hangar, a studio lot and office towers, so we know what to ask before you sign.

Unique event venues and standard ones

You get options that match the event, from a hotel ballroom to a space your guests haven't seen before.

Some events need business event venues with breakout rooms and a stage. Others work better in a hangar, a museum or a rooftop. We look at both, then compare them side by side: price, dates, capacity, rules and what each one costs you in setup.

Venue search is one part of our event planning services, so the venue and the program are planned together.

What you get

  • A shortlist. Venues that fit your date, guest count and budget, with the trade-offs written out.
  • Site checks. Sightlines, sound, accessibility, restrooms, lighting, Wi-Fi, service routes, load-in, power.
  • Contract review. We flag the clauses that cost money later, such as attrition and food and beverage minimums.
  • Room types for every format. Corporate meeting rooms for a board day, a training room with breakouts, a party space for the evening.
  • One plan. The venue, the AV and the activities fit together, because one team plans them.

You hand us the brief and get back a short list you can decide from in one meeting.

What shapes the price

You'll know what our search and planning cost before we start.

There's no price list. Every event gets a custom quote, based on:

  • How many cities and venues we search.
  • Site visits in person or by video.
  • Contract review and negotiation.
  • Whether we also plan and run the event.
  • Your dates and how soon the event is.

  • A guest's hands on the flight simulator yoke on the Hangar 21 terrace
  • Speakers on tripod stands along the seating area in a high-ceiling hall
  • Two racing cockpits and a leaderboard screen ready before guests arrive on the 55th floor
  • A loft event space set for a company dinner
  • A conference room set classroom style for a seminar

Contracts and insurance

You sign with a clear view of what you owe if plans change.

Hotel and venue contracts often include an attrition clause, commonly near 80% of the room block, and a food and beverage minimum. If you fall short, you pay the difference. We read those terms with you and point out what to negotiate before you sign.

Venues also ask vendors for insurance documents. We send ours on request and collect the venue's rules for every other vendor.

What goes wrong with venue booking

Most venue problems are visible in the contract or on a site visit. Here's what each one costs and how we catch it.

  • Signing before a site check.

Load-in limits show up on event day. We check access first.

  • Choosing from listing photos.

A wide-angle photo hides a low ceiling or a pillar in front of the stage. We check sightlines from the back row.

  • Wrong room for the format.

A banquet hall with no breakout rooms breaks a training day. We match rooms to your schedule.

  • Weak Wi-Fi.

Check-in, streaming and photo booths need it. We test it or bring a backup.

  • Short access window.

Setup runs into the program. We confirm load-in and teardown hours in writing.

How venue procurement works with us

You'll know each step from the first brief to the signed contract.

  1. Step 1: You send the brief

    • Date, city, guest count, format and budget. We reply right away.
  2. Step 2: We search

    • Hotels, conference centers and less obvious rooms in your city.
  3. Step 3: You get a shortlist

    • With prices, dates and the trade-offs of each.
  4. Step 4: We check the finalists

    • Access, power, Wi-Fi, rules and insurance requirements.
  5. Step 5: We review the contract

    • Attrition, minimums, cancellation terms and dates.
  6. Step 6: You sign

    • Then we plan the event inside the venue, if you want us to.

Who works on your search

You work with one event lead from the first call to the signed contract.

  • Event lead. Builds the shortlist, runs site checks, reviews contracts and stays your contact.
  • Production crew. If we also run the event, they plan load-in, power and setup with the venue.

Corporate venues in any U.S. city

We search venues wherever your team meets, and the same team can run the event there.

Questions

Can you search venues in my city?

Yes, in any U.S. city. Send us the city and date, and we'll start the search.

Can one search cover a meeting and a party?

Yes. A single shortlist can cover a room for the daytime meeting and corporate party venues for the evening, such as a rooftop, a restaurant buyout or a hotel ballroom.

Which unusual rooms work for a company event?

Museums, rooftops, hangars, studios and lofts are fun venues for corporate events, but they often limit load-in and power. We check whether the room can handle your setup.

Can you find a room for a small meeting?

Yes. Tell us the number of people and the meeting length. A board day needs a quiet room, good Wi-Fi and catering on site, and we check all of it.

Can you find a venue on short notice?

Yes. Send the city, the date and the head count today. Short notice narrows the list, so we start with venues that still hold your date and confirm access first.

Do you help with eco-friendly venues?

Yes. For ideas, read how to plan sustainable corporate events.

Who signs the venue contract?

You do, after we review it with you.
