Work with a corporate event planner in Kansas City for a Bartle Hall show, a Union Station gala or a Plaza holiday party. We bring racing simulators, AI photo booths and sound to either side of State Line Road.

Kansas City venues range from a 1970s convention hall to a 1914 rail station, and each one loads in differently.
Kansas City Convention Center (Bartle Hall)
It has 388,800 sq ft of column-free exhibit space on one floor, a 46,450 sq ft ballroom and 45 meeting rooms. Trucks use 29 bays on three docks, with doors 17 ft 8 in high, and the ballroom has its own docks. Skywalks connect it to downtown hotels, so guests walk in out of the weather.
Union Station
The 1914 station reopened in 1999 after a $250 million restoration, with Science City inside. Its restored halls give a gala a landmark setting, and covered walkways lead to Crown Center.
T-Mobile Center
The arena seats over 19,000, with 72 suites and a 360-degree LED screen. It anchors the east side of the Power & Light District, where client nights start in a suite and end on the street.
Kauffman Center for the Performing Arts
Two halls seat 1,800 and 1,600, and the glass Brandmeyer Great Hall looks south over the city. A 1,000-space garage sits under the grounds, which keeps parking simple for a donor or awards night.
Overland Park Convention Center
On the Kansas side, it hosts about 200 events a year with a 60,000 sq ft hall, a 25,000 sq ft ballroom and a connected Sheraton. Suburban companies use it for sales meetings close to their offices.
Sports and barbecue drive the city's biggest weeks, and they compete with your event for hotel rooms and downtown parking.
Union labor is required at the convention center, and the fire marshal reviews your floor plan. Here's how that shapes your setup.
Who builds
IATSE stagehands build and dismantle exhibits that exhibitors don't set up themselves, and they run theatrical lighting and sound. Forklift unloading and delivery go through your decorator or production company.
Carts are allowed
Bartle Hall lets your people use their own dolly or hand cart, or hand-carry items in.
Rigging
Every hanging sign or truss is scheduled through Harvest Productions and hung by a local IATSE rigger.
Fire marshal
Floor plans go to Facility Management for fire marshal approval. Drapes and table skirts must be flameproof. A vehicle on display holds no more than 5 gallons or a quarter tank, whichever is less, with the battery cables disconnected. Demonstrations run on auxiliary power, which is how we power our cockpits.
City parks
KC Parks wants a general permit 30 days ahead, or 90 days for events with sales. Tents larger than 10 by 10, a stage, a large sound system or alcohol require $1 million / $2 million liability coverage naming the City of Kansas City, Missouri. The certificate is due 14 days before, and parks provide no power.
Travel and insurance
Our crew and stations travel from one of our two bases, Los Angeles or Orlando, and we confirm travel and setup times in your quote. We send our insurance documents to the venue or the City on request.
The metro spans two states, so a "Kansas City" address can mean Missouri rules or Kansas rules.
Planning stops in other Midwest and Mountain cities? We also run corporate events in St. Louis and Denver corporate events.
Kansas City headquarters run engineering, finance and consumer brands, and each crowd wants a different kind of fun.
Pick one service for a Bartle Hall booth or combine several for a company night at Crown Center.
A photo booth is the easy win at a Plaza holiday party or a Union Station gala. We bring AI and 360 photo booths with an attendant. If the venue has no in-house AV, we add AV rental in Kansas City from the same truck: speakers, microphones and screens.

Kansas City summers bring 47 days at 90 °F or more, and spring brings severe storms. That makes indoor team building in Kansas City the safer plan from April to August, with simulator races or a group challenge in a hotel ballroom. Browse our corporate team building ideas.
Racing simulator rental in Kansas City fits a Big 12 week party or an engineering firm's kickoff. Flight and surf simulators, VR and AI photo booths come from the same fleet. See all our interactive rentals for events.
Yes, for building exhibits and hanging anything overhead, as the labor rules above explain. Your own staff can still bring items in by hand or on a dolly.
Yes, within the fire marshal's vehicle limits listed above. We put our simulators and their power on your floor plan, so the approval covers them before move-in.
Yes, through KC Parks, with the deadlines and insurance terms from the rules above. Parks have no power, so we bring our own for the stations.
Late spring brings Tornado Alley storms, and July averages 81 °F. Early fall is the calmer window, though the American Royal fills the calendar. Keep an indoor backup for any date from April to August.
Yes. Park permits, city rules and insurance holders change at State Line Road. Send us the full venue address, and we'll check the rules for that side.
We pick the venue with you, from Bartle Hall to Union Station, and move the date off Big 12 week or the American Royal if hotels are tight. We send the floor plan for fire marshal approval, book IATSE labor and file the KC Parks permit for an outdoor part. On the day, one team delivers, runs and packs up every station.
Every Kansas City event gets a custom quote. It depends on the stations and hours, on travel from our base and, at Bartle Hall, on IATSE labor and Harvest Productions rigging if you hang anything. Read how we quote, then send us your date.
Send the date, the venue and your guest count. We'll check the hall's rules and our calendar, and we'll reply right away.
Share the event type, the date, the venue and its state, the guest count and your budget. For a Bartle Hall show, add the hall and your booth size. Or call +1 213 912 1010
