Resorts and hospitality
Palm Springs alone has more than 130 hotels and resorts. Hotel sales teams host visiting planners, and a 360 booth gives those guests a clip to share.
480+ corporate events · 5 years
Bring your team to the desert with a corporate event planner in Palm Springs who schedules around the heat, the high season and the convention center's deadlines.

Pick the room first, because each venue in the valley sets its own dock, power and lawn rules. Booking a mid-century estate or a casino ballroom instead? Send us the address and we'll check the space, the power and the path from the truck.
Palm Springs Convention Center
The building at 277 N. Avenida Caballeros has 261,000 sq ft in total and more than 112,000 sq ft of exhibit space. The airport is about 1.5 miles away, a 10-minute ride for guests who fly in.
Renaissance Palm Springs
This hotel is attached to the convention center and has 410 rooms and 30,000 sq ft of meeting space. Its California Grand Ballroom covers 12,571 sq ft, with room for a general session and a station zone at the back.
Riviera Resort & Spa
It sits 1.8 miles from the center, with 45,000 sq ft across 27 rooms. The largest room, at 19,670 sq ft, takes a sales kickoff with a racing league running beside the bar.
La Quinta Resort & Club
Open since 1926 at the foot of the Santa Rosa Mountains, it has more than 190,000 sq ft of indoor and outdoor event space. The Fiesta Ballroom alone is 16,940 sq ft.
Acrisure Arena
The 11,000-seat arena in Thousand Palms opened in December 2022 and is home to the Coachella Valley Firebirds hockey team. A game night makes an easy client outing.
Design hotels for small groups
The Ace Hotel's Commune gives you 4,000 sq ft of indoor and outdoor space. Parker Palm Springs has 10,000 sq ft over 8 rooms for a leadership offsite.
Book January through April early, because the valley's biggest events fill hotels and drivers in those weeks.
You keep your load-in on schedule when the paperwork, the power and the shade are settled weeks before the date. At the Palm Springs Convention Center, four deadlines matter most:
Floor plan
A plan drawn to scale goes to the Fire Marshal at least 60 days before move-in. Aisles stay at least 10 ft wide, and the marshal's decision is final. We fit the setup to your venue and confirm space and power with you before the plan goes in.
Dock
The Loading Dock Questionnaire is due 30 days before occupancy. Trucks use the 9-bay dock on the north end, where the largest door is 15'4" high and 17'11" wide. Nothing comes in through the lobby.
Power
Only six approved contractors supply floor power: Convention Electric, Edlen, Freeman, GES, TriCord and Western Event Service. Any other firm needs a variance requested 30 days ahead, so we order through your show's contractor.
Signs and parking
Encore hangs any banner over 50 lbs. City ordinance bans overnight parking in the convention center lots, so our truck leaves each night.
Outdoor heat
Outside, California law shapes the plan. Cal/OSHA requires shade for outdoor workers above 80 °F and extra high-heat steps at 95 °F, so we bring shade for our operators and for the screens.
Tents and wind
Under the California Fire Code, a tent over 400 sq ft needs a fire permit, while open-sided tents up to 700 sq ft are exempt. Wind comes through the San Gorgonio Pass, the second windiest place in the country, and we weigh down every canopy and screen stand.
The Coachella Valley runs about 45 miles from the San Gorgonio Pass toward the Salton Sea, so the town you pick sets the drive for your guests and our truck.
Your industry tells us which station will draw a line at your event.

Palm Springs is a winter retreat town: from November to March its population triples and the resorts fill. We plan the agenda, the dinners, airport transfers and team building in Palm Springs, from a simulator tournament by the pool to an evening challenge in the ballroom. See our approach to corporate retreat planning.
A racing simulator rental in Palm Springs brings a staffed cockpit and a live leaderboard to your sales kickoff. For a general session at the Renaissance or Riviera, we add AV rental in Palm Springs: screens, QSC speakers and microphones. Browse all our event rentals.
Yes. We have two bases, Los Angeles and Orlando, with our Orlando office and warehouse at 310 N Orange Ave, and we work across the U.S. The same crew can work as your corporate event planner in Los Angeles and run corporate events in Orange County.

Only with care. Summer days pass 110 °F, nights often stay above 80 °F, and the record is 124 °F, set on July 5, 2024. We move stations indoors or start after sunset, and screens get shade.
November through March. Most winter days reach 70 °F, and January afternoons often hit 80 °F. We still plan heaters for the evening, since desert nights cool fast.
A floor plan for the Fire Marshal 60 days out, a dock questionnaire 30 days out and power through an approved contractor. We prepare our part of each one.
A tent over 400 sq ft needs a fire permit under the California Fire Code. We confirm the size with the resort and plan the permit before the date.
They use three April weekends at the Empire Polo Club in Indio, and hotels across the valley fill. Book rooms and our crew early if your dates overlap.
Every event gets a custom quote. It depends on the format, the number of stations and hours, convention center power, shade or tents in hot months and travel. Read how we quote, then send your details.
Send us the date, the resort or venue and the guest count. We'll check our crew calendar and the venue's rules, then reply right away.
