Event Lighting Rental with Uplighting Design

Our event lighting rental turns a plain ballroom or office floor into a room in your brand colors, and it keeps your speakers' faces bright in every photo.

Uplighting rental: what it does for a room

Uplighting is the fastest way to change how a room feels without building anything.

An uplight is a small fixture that sits on the floor against a wall, a column or a drape and throws color upward. A row of them turns bare walls into a colored backdrop. Behind a stage, they lift the speaker off a dark background so people see where to look.

Spacing decides the look. One uplight every 5 ft gives a full, even wall of color; one every 10 ft gives soft pools with shadow between. For a room of up to 200 guests, that often means 12 to 24 fixtures, plus pin spots on the tables.

You choose between battery and wired fixtures. Battery uplights need no cables across the floor, so they work in open areas and in venues with few outlets. Wired uplights suit long walls near power.

Event light rentals from walls to stage

  • Uplighting. Color on walls, columns and drape.
  • Pin spots. Narrow beams on tables, centerpieces, a cake or an award display.
  • Gobo projection. Your logo or a pattern projected on a wall or the dance floor.
  • Color washes. A different look for dinner, speeches and the party after.
  • Stage light. Front light on the speaker's face, plus a wash on the backdrop.

You get one lighting plan for the whole room, from the walls to the stage, built around your program.

We plan the light, the stage and the screen on one drawing, so the light doesn't wash out the slides and the speaker stays bright. Our stage rental page covers the stage side.

What comes with your lighting

One booking covers the fixtures, the people who place them and the cleanup.

  • A lighting plan. Where each fixture goes and which color it shows, sent to you before load-in.
  • Your brand colors. We match the light to the same palette we use on your screens and stations.
  • Setup and focus. Our crew places, aims and programs every fixture.
  • A check before doors. We run each look and fix dark spots before guests arrive.
  • Teardown. We collect every fixture and cable after the last guest.

Need sound and screens as well? Our AV rental page lists the gear we pair with lighting.

What shapes your lighting quote

You'll know the cost of your exact plan before you commit, and you'll have it within minutes. We don't publish a price list. Each event gets its own quote.

  • How many uplights, pin spots and gobos.
  • Stage light and any truss to hang it.
  • Battery or wired fixtures.
  • An operator for changing looks.
  • Event hours and load-in time.
  • Your city and venue access.

Evening events we've worked

These events ran into the evening. They show how early our crew arrives and what we check on site before guests come out.

An outdoor luau on a campus lawn from 7:30 to 9:30 PM, booked two days ahead. We arrived at 5 PM and checked outdoor light, a level surface, power and space for the line before students came out. Read about the surf simulator for EF Academy's luau party.

Power, rigging and venue paperwork

Your venue sees the power and rigging details early, so the build isn't held up at load-in.

Lights have to stand on the floor, sit on stands or hang from truss or the venue's rigging points. Many venues set rules on who may rig, so we agree that with them first. A large rig draws more than a household circuit, and open-air sites often need power distribution or a generator. We send the venue a fixture list and power needs before the event.

We also send insurance documents to venues and organizers on request.

Where event lighting goes wrong

Bad light shows up in every photo from your event, and here's how it usually happens.

  • Color but no front light.

The room glows, but the speakers' faces are dark in photos. We light the stage from the front first.

  • Too few uplights.

Walls look spotty, with dark gaps between pools of color. We space fixtures for the look you picked.

  • Cables across walkways.

Guests trip, and the venue asks you to tape everything down. We use battery fixtures where people walk.

  • Light that flickers on camera.

It looks fine in the room but strobes in your video. Tell us if you'll film or stream, and we'll set fixtures for camera.

Who sets up and runs the light

You don't need a lighting person on your team. We bring the people who place the light and run it.

  • Lighting technician. Places, aims and programs fixtures, then takes them down.
  • Lighting operator. Switches looks during the program when your event needs it.
  • Event lead. Agrees the plan with you and the venue and stays your contact on site.

Questions

How many uplights do I need?

It depends on wall length and how full you want the color. The spacing guide is in the uplighting section above. Send a floor plan, and we'll count them for you.

Can the lights match our brand colors?

Yes. LED fixtures mix almost any color, and we match them to your brand palette.

Do I need an operator?

Not for one color all night: we program it and leave it. If the looks change for speeches, awards or dancing, an operator runs them on cue.

Can you light a corporate gala?

Yes. A corporate gala usually needs uplighting for the room, pin spots on tables and front light for the awards. We plan them as one design.

Can lighting work with tables and lounge furniture?

Yes. Pin spots and soft color work best when we know the layout. If you also need event furniture rental, we plan light and furniture on the same floor plan.

Can you send insurance documents to our venue?

Yes, on request. The power and paperwork section above covers what we send.
