Trade Show Booth Rental with Custom Exhibit Design

Choose a trade show booth rental that's built around your brand and comes with something visitors stop for. We set up and test before the show floor opens, so your team starts day one in a working booth.

Rent a trade show booth or build custom?

  • Rental. You rent trade show booth structure, graphics and furniture for one show. Good if you exhibit a few times a year or change sizes between events. No storage, no shipping crates of your own.
  • Modular trade show booth. Reusable frames with new graphics each time. A middle path if you exhibit often.
  • Custom trade show booth. Built once for your brand. Design alone often takes two to three weeks, and the build about six to eight more. Plan early.
  • Portable trade show booth. Pop-ups and banner stands for small spaces and quick setup.

The right choice depends on how often you exhibit and how much the booth needs to change between shows.

You can also rent the structure and put a custom trade show display on top: the look of a custom build on rental terms. We'll tell you which option fits your show schedule.

Trade show booth design built around your goal

A booth works when a visitor knows in two seconds what you do and has a reason to step in.

Good trade booth design starts with the goal: new leads, product demos, meetings or brand visibility. That decides the layout, the counter, the screens and where people stand. Then come trade show booth graphics: a short message at eye level and your logo high enough to be seen down the aisle.

On top of the booth, we bring games for your trade show booth, run by our own operators. A racing or flight simulator, an AI photo booth or a surf station gives visitors a reason to stop, and your team a reason to start a conversation. Our trade show entertainment page shows every station.

10x10 trade show booth and larger: what you get

One order covers the booth, the station and the crew, sized to the space you bought.

  • Every common size. 10x10 and 10x20 inline booths, 20x20 trade show booths and island layouts.
  • Structure and backdrop. Tension fabric walls, a trade show booth backdrop and a backlit panel for your main message.
  • Graphics. Printed to your brand. Our event branding team prepares the files.
  • Lighting. Light on your graphics and product.
  • Flooring and furniture. Carpet or tile, counters, stools and a meeting table.
  • Product displays. Shelves, cases and monitor stands.
  • Portable pieces. Banner stands and pop-ups for side events.
  • An interactive station with an operator. Optional, branded, with a leaderboard.

How we price your booth

You get one quote for the booth, the station and the crew, with each line listed. Each show gets a custom quote, because graphics, furniture and show rules change the work.

  • Booth size and layout.
  • Rental, modular or custom build.
  • Graphics, lighting and flooring.
  • Interactive stations and operators.
  • Show days and hours.
  • The show city and move-in schedule.

Show services such as electricity, internet, cleaning and material handling are ordered from the show and billed separately. We help you list them.

Branded Racing Simulator for i2c at FinovateFall, New York

i2c needed a reason for visitors to stop on a busy fintech show floor. We supplied a branded racing station at i2c's FinovateFall booth with a leaderboard on a second screen and a prize for the fastest lap. We installed and tested on September 8, the day before opening. Visitors raced, then came back to beat their own times. Over three days, the booth team saved about 51 external contacts, and i2c has kept working with us since.

Show rules and paperwork

Your booth passes the show's checks on move-in day, because we read the rules first.

Each show publishes an exhibitor manual with height limits, fire rules and move-in times. Many follow the IAEE display guidelines: a linear booth is usually 10 by 10 ft, its back wall can reach 8 ft, and anything in the front half toward the aisle stays under 4 ft. Perimeter booths along a hall wall can go to 12 ft. The show's own manual always wins, so we check it before we design.

We send insurance documents to the show and venue on request.

Where trade show booths go wrong

Most booth problems start in the design or the paperwork. Here's what each one costs.

  • A wall that breaks the height rules.

The show makes you lower it on move-in day. We design to the manual.

  • Show services ordered late.

No power at the booth until the second morning. We list electricity, internet and material handling with your deadlines.

  • No plan for trade show logistics.

Freight arrives after the move-in window. We schedule shipping, move-in and move-out.

  • A booth with nothing to do.

Visitors walk past. A station with a leaderboard gives them a reason to stop.

  • Too many vendors.

Booth builder, AV company and activity vendor each answer to the show's trade show contractor separately. We run all three.

Questions

What is the average cost of a trade show booth?

It depends on size, graphics, furniture and show services. Every show gets a custom quote, and you'll have it fast once you send the show and booth size.

What's included in a trade show exhibit rental?

Structure, graphics, lighting, flooring, furniture, setup and teardown. Show services like power and internet are ordered from the show.

Is a booth rental cheaper than buying?

For a few shows a year, renting usually costs less and needs no storage. If you exhibit often with the same look, ask us about a modular build.

Do you sell a trade show booth kit?

We rent complete booths with setup. For a kit you install yourself, tell us the size and we'll say what fits.

What does a trade show booth company do?

It designs, builds, ships and installs your booth. We do all of that and can add a staffed interactive station.
