Pharma and life sciences
Lilly is the city's largest private employer, and about 350 life sciences companies work here, among them Roche's North American headquarters. A quiet AI photo booth suits a scientific reception.
480+ corporate events · 5 years
Plan Indianapolis corporate events around the city's big weeks, from Gen Con at the convention center to the Indy 500 in May. We bring racing simulators, AI photo booths and AV to a skywalk hotel, the Speedway or a Carmel office.

Downtown Indianapolis is built so guests can walk from hotel to hall indoors, and that layout decides where a station can go and how it gets there.
Indiana Convention Center
The center at 100 S Capitol Ave has 11 exhibit halls, 71 meeting rooms and three ballrooms. Skywalks link it to 12 hotels and 4,700 rooms, more than any other U.S. convention center. In February 2027 the new Signia by Hilton opens next door.
Lucas Oil Stadium
An underground walkway connects the stadium to the convention center and adds 183,000 sq ft of show floor. The stadium seats 63,000, and its roof opens in about 11 minutes. It hosted Super Bowl XLVI and hosts the NFL Combine each year.
Indianapolis Motor Speedway
The 2.5-mile oval in Speedway, about six miles west of downtown, has run the Indy 500 since 1911. The IMS Museum starts grounds and track tours every day, and a racing station fits a group visit there.
Old National Centre
On Mass Ave, the Murat Theatre seats 2,500 and the Egyptian Room holds 2,000. It works for a company meeting with a show or a client party in a historic hall.
Carmel and Fishers
North of the city, Carmel's Palladium has a 1,600-seat concert hall. Fishers opened its Fishers Event Center in November 2024. Both put a venue close to where many offices sit.
Downtown hotels fill up during the big conventions, so plan your booth activity and your own events around these weeks.
Indiana's labor law and the convention center's own policy point in different directions, so we check your show's rules before move-in.
Right-to-work state, union venue
Indiana is a right-to-work state, yet the Indiana Convention Center and Lucas Oil Stadium use union labor exclusively.
Your own staff
Exhibitors may set up their own booth with full-time employees. Freight goes through the show's pre-qualified decorator, so we book our crates on its forms.
Selling or sampling
Selling goods at a booth means registering with the Indiana Department of Revenue. Food samples need a Marion County Health Department license, and Sodexo Live! holds the food and drink rights.
Certificate of insurance
We send insurance documents to the convention center, your hotel or the organizer on request.
Out-of-town setup
We have two bases, Los Angeles and Orlando, and work across the U.S. For a long-distance example, see the flight simulator for a school event near Raleigh, tested on site before guests came in.

Partly, as the labor rules above explain: your full-time employees may set up your own booth, and union crews do the rest. Our team sets up and runs our stations within the show's rules.
Yes. Book hospitality early, because Memorial Day weekend fills every hotel. A racing simulator at your suite or tent lets guests drive a lap before the real race.
Hotels and loading docks get busy. We book a dock slot at the convention center or Lucas Oil Stadium on the decorator's forms early and plan our route around show traffic. For a Carmel or Fishers venue, we set load-in times with the venue.
Indianapolis gets about 25.9 inches of snow a season and about 20 thunderstorm days a year, with May the wettest month. We prefer indoor setups and plan a covered spot for any outdoor station.
Yes. As your corporate event planner in Indianapolis, we find the venue, from a skywalk hotel downtown to the Palladium in Carmel, and plan the program and the interactive. We file the decorator and show forms, and run the event day.
