Corporate Events in Phoenix: Full-Service Planning
Plan corporate events in Phoenix around the Valley's summer heat, spring training and resort season. We book the venue and bring simulators, photo booths and AV from downtown to Desert Ridge.
Phoenix venues range from a downtown convention campus to resorts with ballrooms and lawns, and each sets its own load-in terms. Planning at another resort in the Valley? Send us the venue name and we'll check power, space and the loading route.
Phoenix Convention Center
The North and West buildings share a 502,500 sq ft exhibit hall, and the South Building adds 143,300 sq ft of exhibits and a 28,000 sq ft ballroom. The North Building has 20 climate-controlled loading docks, which matters for electronics in July. Third Street between buildings can close for an 80,000 sq ft outdoor event.
Sheraton Phoenix Downtown
With 1,003 rooms, it's the convention center's headquarters hotel, a block north of it. The 27,200 sq ft Phoenix Ballroom is the largest in downtown, sized for an awards dinner after a day on the show floor.
JW Marriott Phoenix Desert Ridge
The resort has 241,106 sq ft of meeting space. Its 33,218 sq ft Grand Canyon Ballroom is Arizona's largest banquet hall, and the 19,110 sq ft Ballroom Lawn hosts evening receptions in the cooler months.
Arizona Biltmore
The resort opened in 1929 near Camelback Mountain, with 200,000 sq ft of indoor and outdoor event space. The 24,576 sq ft Frank Lloyd Wright Ballroom suits a gala or a client dinner with a racing or flight simulator in the foyer.
Phoenix event calendar
Most company events in the Valley fall between January and April, when the big sports weeks bring clients to town and the weather lets you go outside.
1
Step 1: January
Barrett-Jackson fills WestWorld of Scottsdale with collector cars on January 23 to 31, 2027.
2
Step 2: February
The WM Phoenix Open runs February 8 to 14, 2027, at TPC Scottsdale.
Cactus League spring training opens February 19, 2027, with 15 teams playing at 10 ballparks across the metro.
Team outings and client suites follow the game schedule.
4
Step 4: June
Phoenix Fan Fusion takes over the convention center on June 4 to 6, 2027.
It drew 130,145 attendees in 2025.
5
Step 5: Convention center shows
For trade show entertainment in Phoenix at a convention center show, send the show dates and your booth number.
If you also need the booth, we plan it and the stations as one order.
Labor, permits and heat rules in Phoenix
Arizona's rules are simpler than California's on the show floor, but the city's permits and the summer heat have their own deadlines.
01
Labor at the convention center
Arizona is a right-to-work state, and the Phoenix Convention Center does not require union labor. Full-time exhibitor staff may install and dismantle their own exhibits with company ID. Hand-carried items can't go in on dollies or carts, so larger stations come through the show contractor.
02
Tent permits
A tent over 800 sq ft with any sidewall, or an open canopy over 1,200 sq ft, needs a permit from the Phoenix Fire Department's Fire Prevention section. The application goes in at least 10 business days before the event.
03
Outdoor crowds and street closures
An outdoor event with 500 or more guests needs a separate Fire Department assembly permit. Closing a street takes an application at least 90 days ahead and a $400 fee.
04
Heat
Since the 1990s, Phoenix has averaged 21 days a year at 110°F or hotter, and 2024 set the record with 70. From late spring to early fall, we put stations indoors or under cover and plan breaks for operators and guests.
05
Monsoon
The monsoon season officially runs June 15 to September 30. Dust and sudden storms in those weeks are why we keep an indoor fallback for any evening event outside.
Where Phoenix companies hold events
Your guests' commute and your load-in depend on which part of the Valley you choose.
Downtown Phoenix. The convention center, the Sheraton, ASU's Downtown Phoenix campus and the Phoenix Bioscience Core sit within a few blocks. Conferences, association meetings and awards dinners happen here.
Camelback Corridor and the Biltmore area. Office towers and the Arizona Biltmore make this the place for client dinners and executive meetings.
Desert Ridge. North Phoenix resorts like the JW Marriott host sales kickoffs and incentive groups that want the whole program on one property.
Scottsdale. WestWorld and TPC Scottsdale draw the winter hospitality crowd, and Old Town restaurants take the after-parties.
Chandler and the East Valley. Chip makers and tech campuses here run employee appreciation days and family events on their own grounds.
Glendale and the West Valley. Spring training ballparks such as Camelback Ranch host team outings in February and March.
Phoenix corporate event ideas by industry
Each of the Valley's biggest employers runs its own kind of event, and we match the format to the crowd.
Semiconductors
TSMC Arizona has committed $165 billion to its fabs in north Phoenix, and Intel employs about 12,000 people across two Chandler sites. Engineering teams like a timed challenge, so a racing simulator tournament fits a site milestone or a shift-team celebration.
Banner Health, Arizona's largest private employer with about 60,000 employees, is based in Phoenix. Staff appreciation weeks work best with short, drop-in activities like an AI photo booth that night shifts can reach too.
Honeywell Aerospace has its global headquarters near Sky Harbor and became an independent company on June 29, 2026. A flight simulator puts guests in a cockpit at a family day or a customer event.
Winter tournaments and spring training bring client entertaining to resorts and suites. For those weeks, we staff a sponsor activation as well as a private party.

Photo booth rental in Phoenix
A photo booth suits a resort gala at the Biltmore or a convention party at the Sheraton. We bring an AI photo booth or a 360 photo booth with your branding and an attendant. See how our photo booth rental works.
Phoenix team building events
We plan simulator races, challenge formats and outdoor team building activities in Phoenix for the cooler months, and indoor formats from May to September. Read more about our corporate team building programs.
AV rental in Phoenix
At the convention center, rigging goes through the venue, so we design screens and sound around a venue rigging order or ground-supported stands. Our technicians come with the gear, and we can run the show flow for a full general session. Details are on our AV rental page.
Event staffing in Phoenix
At the convention center, every worker from a production company carries a WIS badge, and our crew registers in advance. Operators run each station, brief guests and keep the line moving. Learn about our event staffing.
Interactive rentals
Our own stations and operators cover corporate entertainment in Phoenix. Racing simulator rental fits a spring training outing in the West Valley, and VR rental suits a Chandler family day. Flight and surf simulators are also available.
Questions about corporate events in Phoenix
Can one team cover Phoenix and Las Vegas?
Yes. We have two bases, Los Angeles and Orlando, and work across the U.S. The same team can also run corporate events in Las Vegas, so one trip can cover both cities.
When should we plan an outdoor corporate retreat in Phoenix?
Aim for late fall through spring. In summer, we keep the program inside the resort and move outdoor parts to after sunset.
Is December good for a corporate holiday party in Phoenix?
Yes. December evenings make patio and lawn parties practical, so a party can use a resort lawn with heaters, a photo booth and a simulator under a tent. Remember the tent permit if the tent is large.
Can you produce a hybrid event at the Phoenix Convention Center?
Yes. The venue is the exclusive telecom provider, so we order the internet line through the convention center and run cameras, stream and stage with our technicians.
Do you plan full programs as a DMC in Phoenix?
Yes. We plan venues in Desert Ridge or near Camelback, transport from Sky Harbor, dinners and activities for an incentive group or a leadership offsite, with outdoor parts set for the cooler hours.
What does a corporate event planner in Phoenix handle for us?
Corporate event planning in Phoenix starts with the season and the venue. We find the room, from a convention center hall to a Desert Ridge resort, order venue rigging and WIS badges, file tent or assembly permits and run the event day.
How do you quote a Phoenix event?
Every Phoenix event gets a custom quote. It depends on the format, stations and hours, travel, venue labor and any tent or assembly permits.
