Corporate Events in Nashville: Full-Service Planning

We plan corporate events in Nashville around the city's own calendar, from a client night during ViVE to a team day in Cool Springs. Send us the venue and the hall, and we'll check its power and load-in rules before you get a quote.

Corporate event venues in Nashville

Pick the room first. We fit the stations to its floor, its power and its loading doors.

Music City Center

The convention center in SoBro has more than 353,000 sq ft of exhibit space, two ballrooms and 60 meeting rooms. Trucks unload at 32 dock bays.

Gaylord Opryland Resort

It has 2,888 guest rooms and about nine acres of indoor garden atriums under one roof. A sales kickoff can sleep, meet and hold its awards night there without a shuttle.

Country Music Hall of Fame and Museum

The Event Hall covers 10,000 sq ft, takes 600 guests for a reception and looks out on the skyline through glass walls. The 776-seat CMA Theater works for a general session before the party.

Omni Nashville Hotel

It stands across the street from Music City Center but isn't connected to it. For a reception there, we plan a short outdoor walk for any gear we carry by hand.

Nashville convention calendar

Book around the big shows. Hotel rooms and dock times go first in these weeks, so we hold your stations earlier.

  1. Step 1: January 20–23, 2027

    • The Safari Club International Convention brings about 18,000 people to Music City Center.
  2. Step 2: February 1–4, 2027

    • CattleCon, the cattle industry convention with the NCBA trade show.
  3. Step 3: March 14–17, 2027

    • ViVE, the health tech conference from HLTH and CHIME.
    • Health care companies in town plan client dinners around it.
  4. Step 4: May 3–5 and May 11–12, 2027

    • AISTech for the steel industry, then the MAGIC fashion trade show.
  5. Step 5: June 10–13, 2027

    • CMA Fest fills downtown, and its Fan Fair X runs inside Music City Center.
  6. Step 6: July 15–17, 2027

    • The Bitcoin Conference expects about 20,000 people.
  7. Step 7: October 5–7, 2027

    • Shoptalk Fall for retail leaders.
  8. Step 8: Date changes

    • Organizers sometimes move dates.
    • Tell us your show and we'll check it against your booth or reception plan.
    • For an exhibitor stand, see our trade show entertainment ideas.

Load-in, permits and COI in Nashville

Send us the exhibitor kit. We work through its forms and deadlines so the station is live when the hall opens.

  • Music City Center rules

Tennessee is a right-to-work state. At Music City Center, our crew sets up its own stations within your show's rules, without calling in union labor. The center keeps electrical, internet and rigging as exclusive services, so we send you the power needs for each station to order with your other forms, about 30 days out. Freight goes to the marshalling yard on the south side and can't arrive before your move-in date.

  • Outdoor events and street closures

Metro Nashville wants an event permit for a street or sidewalk at least 45 days ahead, and amplified sound must end by 11 PM. A tent over 200 sq ft needs a fire marshal permit 15 business days before the event. In a Metro park, the city asks for a $1,000,000 certificate of insurance naming Metro Parks, 30 days out.

Where Nashville teams get together

Choose the district by what the evening needs and how far your guests will walk from their hotel.

  • SoBro. Music City Center, the Omni and the Country Music Hall of Fame sit within a few blocks, so an after-show reception needs no bus.
  • The Gulch. A former rail yard just south of Broadway, now full of restaurants and rooftops. In 2009 it became the first neighborhood in the South with LEED certification.
  • Germantown. Victorian blocks a few streets northwest of downtown, next to the Nashville Farmers' Market. Good for a private dinner buyout.
  • East Nashville. Across the Cumberland River from downtown. Its restaurants helped put Nashville on the map as a food city, and its bars suit a smaller team night.
  • Opryland and Music Valley. Home to Gaylord Opryland and its atriums, for programs that stay on one campus.
  • Franklin and Cool Springs. In Williamson County, where Nissan North America and many of the region's public companies keep their headquarters.

Nashville corporate event ideas by industry

Two industries shape many Nashville events, and each has its own kind of event.

  • Our AI photo booth mirror with studio lights, set up and ready for guests

    Health care

About 900 health care companies work in Nashville, and 17 public health care companies keep their headquarters here. HCA Healthcare is the largest. Their year runs on conferences and client nights, where a flight simulator or an AI photo booth with lead capture gives guests a reason to stay and talk.

Life sciences and health care teams

  • Two racing stations and a live leaderboard ready for guests in a dark event room

    Automotive and Cool Springs offices

Nissan North America runs its U.S. headquarters from One Nissan Way in Franklin, and 13 of the 25 public companies in the Nashville metro sit in Cool Springs. These offices book racing tournaments for team days and leaderboards for sales meeting breaks.

Questions Nashville planners ask

Do we need union labor to set up at Music City Center?

Not for our stations. Tennessee is a right-to-work state, so our crew builds within your show's rules.

How early should we book for ViVE or CMA Fest week?

As soon as you know the date. Hotel rooms and dock times fill first in those weeks. Send the date and we'll check availability right away.

Can you set up inside the Country Music Hall of Fame or Gaylord Opryland?

Yes, once the venue approves the plan. We send its event team the station sizes and power needs, then agree on the load-in route and time with them before event day.

What does an outdoor event in Nashville need?

Plan 45 days for a street or sidewalk permit and 15 business days for a tent permit. July highs average about 91°F, so we bring shade for outdoor stations. In spring storm season, March to May, keep an indoor backup room.

Can you plan a corporate holiday party in Nashville at Gaylord Opryland or downtown?

Yes. We book the room, plan the program and run the stations. Gaylord Opryland keeps a large team under one roof, and a SoBro venue lets guests walk from the downtown hotels. Start the venue search in summer.

What shapes the quote for a Music City Center show?

Each event gets a custom quote. At Music City Center it depends on the stations and show days, the power you order from the center, your move-in window at the marshalling yard and travel from one of our two bases, Los Angeles or Orlando. How we quote shows the rest.

Which insurance documents do Metro Parks and Music City Center need?

For an event in a Metro park, the city wants a certificate naming Metro Parks 30 days out. Music City Center shows and downtown hotels list their own additional insureds in the exhibitor kit or contract. Send us those names, and we'll send our insurance documents to match.
