Corporate Events for Every Team and Industry

We plan corporate events by industry and by team, starting from who your guests are and what your building allows. Find your team or sector below and see the formats that fit it.

Event formats by team and by industry

Each section names the events your team usually plans, the stations that work for them and a project you can read in full. Looking by occasion or by activity instead? See corporate events, team building and our event services.

HR and people teams

Employee engagement events work when people join on their own. Put one or two stations in the lobby for an appreciation day, or run a themed social on a terrace with several stations side by side. Flight simulators and VR suit family days, because kids and grandparents can both take a turn.

Capital Group, a returning client with three events, ran four racing cockpits on one leaderboard at an employee social. Each run took about 90 seconds, so the line stayed short. Full programs for the day and the week are on our employee appreciation events page.

Sales teams

Salespeople live by a scoreboard, so give them one at the event. Run a racing league between general sessions of the sales kickoff and close it on stage with the winners. Give each region its own cockpit, and the floor starts tracking the standings.

At a racing challenge on the 55th floor, two cockpits shared one leaderboard from 2 to 5 PM, with ten prize places: a helmet for first and trophies for the other nine. The year's top performers can also earn a trip through our incentive travel team.

Marketing and brand teams

A show floor has hundreds of booths, and visitors need a reason to stop and a reason to come back. A branded station with a live leaderboard gives them both, and the crowd around the screen draws the next visitor in. An AI photo booth puts your brand in every frame guests share.

i2c branded a racing cockpit in its colors at FinovateFall in New York and saved about 51 external contacts over three show days. For a campaign across several events, see our experiential marketing agency page.

Remote and hybrid teams

When a distributed team meets once or twice a year, those days carry the relationships for the rest of it. Plan the corporate retreat around activities that give people a reason to talk to someone from another team. AI Networking asks each guest what they work on and who they want to meet, then sends meeting invitations to their phones.

Colleagues who can't travel join through hybrid event production. Between meetups, virtual team building keeps the team playing together with a live host and a scoreboard on screen.

Event planners and agencies

Your name is on the event, so the vendor you bring in has to follow your run of show and keep the client happy. We send a written plan with arrival and ready times for your timeline. Our operator stays at the station until the last guest and can dress for the theme.

Total Brand Experience (TBX) booked a flight simulator for Sysmex at Hangar 21 and later sent written feedback that its team and its client were pleased with the product and the professionalism. Kid's Bash OC and Event Collective have also booked us for client events. The full fleet is on our interactive event rentals page.

Financial services

Banks, asset managers and fintech firms often sit in high-rise offices. Freight elevators run on a schedule, loading docks need a booking, and building management sets its own vendor rules. We confirm access hours, the floor, outlets and insurance documents with your facilities team before event day.

Client evenings add one more layer, because compliance may review what guests receive. A racing contest or a flight simulator gives clients and advisors something to talk about besides markets. Our corporate hospitality services cover the full evening.

Technology companies

Tech guests see product demos all week, so the activity needs a goal they understand in seconds: a fastest lap, a match with someone worth meeting or a portrait in your campaign style. At a user conference, AI networking matches guests by what they offer and who they want to meet.

At the TEC6 launch at the Scenic Arts Center at Sony Pictures Studios, the organizers ran our AI Networking Matchmaker next to a racing simulator and thanked us for both in their follow-up. For a keynote night, see our product launch event page.

Life sciences and pharma

The rules depend on who is in the room. The PhRMA Code, in effect since January 1, 2022, says drug companies should not give healthcare professionals entertainment or recreation. It also rules out branded reminder items for them, down to pens and mugs. Under CMS Open Payments, drug and device companies report the payments they make to physicians.

So we sort the guest list first. HCP meetings get screens, microphones and a technician, with no entertainment and no giveaways. Sales meetings, field launch kickoffs and employee days can take a racing contest or an AI photo booth. One meeting planner can run your congress week.

Manufacturing and aerospace

Plant and campus events often start early and bring in people who have never seen the work up close. Manufacturers mark MFG Day on the first Friday in October and open their doors to students, educators and parents. A flight simulator or a big-rig truck simulator lets guests take the controls while an operator coaches each turn.

Parker Aerospace brought employees and their families to two flight simulators at its open house. About 500 guests were expected. The equipment arrived the day before, and our operator shortened attempts when the line grew.

Associations and nonprofits

Members, donors and sponsors each judge the event by a different measure. At an annual meeting, AI matchmaking makes the introductions a crowded reception rarely makes on its own. In the expo hall, a game zone with a leaderboard pulls traffic past exhibitor booths, and sponsors can brand the stations.

Galas and fundraisers run on the same logistics as a corporate gala: stage, sound, screens and a photo moment. When federal employees attend, ethics rules (5 CFR 2635.204) cap the gifts they can accept from one source on one occasion. If your ethics office asks, we plan contests without prizes.

Schools and colleges

Student events pack hundreds of people into a few hours, so the activity has to be quick to learn, fun to watch and safe for every age. Welcome Week, orientation, theme parties and family nights all work with short turns and a ranking on the screen. We've run flight simulator sessions for guests from about six years old to adults.

EF Academy booked a surf simulator two days before its luau, with about 715 students expected. At Alpha School, the room was on the second floor with stairs only, so we carried the station up. Event Collective took a flight simulator to a school event in Morrisville, NC.

Professional services firms

Law, consulting and accounting firms bill their time, so the event has to fit around client work. A client reception, a year-end company holiday party or a partner offsite all suit an activity guests try for a few minutes in business attire. A racing challenge with trophies lets partners and associates compete in teams.

For the full evening, our event planning services cover the venue, decor, staff and program from one team. Your venue or your office manager arranges food and drinks, and we plan the stations around the meal.

Automotive

A car event has one job: get people close to the product and keep them there. A parked car is easy to walk past, and a test drive needs keys, a route and a waiver. A racing simulator gives a guest something to do in the first ten seconds, while the line stands next to your vehicles.

The SEMA Show fills the Las Vegas Convention Center November 3 to 6, 2026, and Work Truck Week comes to Indianapolis March 9 to 12, 2027. At a fleet or work truck show, a big-rig cab suits the booth better than a race car. For dealer nights and model reveals, we plan the program as one brand activation.

Retail and consumer brands

Retail events are judged on two numbers: how many people came in and how many you can reach again. A grand opening event needs a line outside and a crowd that stays past the ribbon. A pop-up lives in a space you don't own, so mall and landlord rules decide where cables run and when you load in.

An AI photo booth hands shoppers a printed portrait in your campaign style and can collect contact details. At NRF 2027: Retail's Big Show, at the Javits Center in New York January 10 to 12, a booth needs one activity that makes a buyer stop.

Sports teams and leagues

Fans arrive early and wait. The team that fills the wait with play keeps them on the plaza, near the sponsors and the merchandise stand. A soccer simulator, VR Baseball, VR Hockey, batting cages and arcade hoops and racing cockpits all put the score on a screen the crowd can watch.

Sponsors want their name on something fans touch and a count they can report afterward. Our sponsorship activation work plans the stations, staff and branding as one zone. At Capital Group's Summer Social, two surf simulators, VR Baseball and VR Hockey ran side by side with one digital leaderboard.

Golf brands meet buyers at the PGA Show at the Orange County Convention Center in Orlando each January. A golf simulator with a longest-drive contest gives a booth or a client evening something to compete over.

Hospitality and travel

Hospitality sells a feeling, and an event is where a buyer can try it in person. A flight simulator fits an airline lounge opening or a new route party. An AI photo booth can put guests on a beach they haven't visited yet. Hotels hosting planners for group business need an activity that welcomes guests who don't know each other.

Buyers meet destinations at a few big shows, such as IPW 2027 in New Orleans, May 2 to 6, and IMEX America at Mandalay Bay in Las Vegas, September 28 to 30, 2027. For a program in another city, see our destination management service.

Orlando is one of our two bases, with an office and a warehouse. Around the Orange County Convention Center, International Drive has 46,000+ hotel rooms, and IAAPA Expo brings the attractions industry there each November.

Why your industry changes the plan

The same racing cockpit needs a different plan in an office tower, a hangar and a school.

A financial firm's tower has freight elevator slots and building insurance rules. A pharma event may need your compliance team to sign off before anything is booked. A school may have a staircase and no loading dock.

We ask about these limits in the first call, then pick the stations and the schedule around them. One team covers delivery, setup, staffing, live operation and teardown, so the person who heard your rules runs the day. More projects, with venues and schedules, are on our corporate event case studies page.

How we fit the event to your team

Your first call covers the limits, so you don't find them on event day.

  1. Step 1: Tell us who's coming

    • Team, industry, guest count, and the goal: thank people, meet clients or collect leads.
  2. Step 2: Share your rules

    • Building access, compliance sign-off, brand guidelines, union or venue labor requirements.
  3. Step 3: Approve the format

    • We suggest stations and a schedule that fit those rules and send a custom quote.
  4. Step 4: We run it with you

    • Our crew sets up before doors open, runs every station and packs up after the last guest.

Questions from teams like yours

Do you plan corporate events for my industry if it isn't listed?

Yes. The sections above are a starting point, not a full list. Tell us your sector and your venue, and we'll suggest formats that fit your guests.

Can you follow our compliance or brand rules?

Yes. Send us the rules before we propose stations. Your team approves the plan and the branding before we book anything.

We have offices in several states. Can you run events in each?

Yes. We have two bases, Los Angeles and Orlando, and we work across the U.S., coast to coast. Each office gets the same stations, the same branding files and our own operators.

Who handles food and drinks?

Your venue or your own team does. We plan the station layout and the schedule around the meal, so guests can eat and play without crossing each other's lines.

What does a corporate event cost?

There's no standard price, because the format, the city and the hours change the cost. You get a custom quote for your event, and we reply right away. The factors we weigh are listed on how we quote.

Tell us about your team

Send the date, the city and who's coming. We'll reply right away with formats that suit your industry and a quote for your event. Include the event type, date, city, guest count and budget.
